Kuiper Australia is seeking experienced Project Coordinators to join our close-knit team, based on King St in the CBD. The position reports to the Operations Manager and provides an opportunity to work across a range of exciting offshore projects, including construction, maintenance and decommissioning scopes.
Beyond the provision of personnel, which is the centerpiece of our service offering, Kuiper also offers our clients a complete personnel logistics service. This encompasses the creation and management of the master crewing roster for the entire vessel/facility, including client and other subcontractor personnel, booking all fixed wing and rotary wing flights, transfers, and accommodation, and entering data into the client personnel management system (VPOB).
The Project Coordinator role is demanding, challenging, and rewarding. You will be responsible for the recruitment and selection of blue-collar trades personnel, and their subsequent rostering and logistics, in compliance with Client requirements for each offshore project.

Due to the nature of the industry, 24/7 on-call coverage (for urgent issues) during each project is essential. During peak periods, there will be the requirement to work outside business hours.
Your responsibilities will depend upon the specific scope of each project, but will primarily include:
Crewing
- Coordinate recruitment and selection activities, including reviewing and shortlisting applicants, processing applications, conducting interviews and reference checks, compiling CV Summaries and communicating with applicants.
- Align recruitment activities to the project roster, to ensure competent, compliant personnel are ready to mobilise as needed.
- Preparation of crew employment contracts and issue of all onboarding paperwork.
- Collate, input and maintain all personal information and upload to HR system (OPMS).
- Liaise with the client and offshore supervisors/admin to ensure crewing/ER issues are resolved or escalated promptly.
- Prepare and/or review timesheets for offshore crew.
Logistics
- Construct Master Project roster for all project personnel, as per client requirements and assigned airframes and flight schedules.
- Management and distribution of Master Roster, and liaising with all project focal points to ensure any necessary changes are actioned promptly.
- Management and distribution of daily/weekly travel manifests and travel guidelines to all parties.
- Entering all crew information and documentation into the client travel system (VPOB etc.) to ensure compliance for travel.
- Booking fixed wing / helicopter flights, accommodation and transfers (if required) for all project personnel.
- Issuing mobilisation instructions to project personnel.
- Arrange ad hoc charter flights on request.
To succeed in this role, you will require:
- Previous Recruitment/Mobilisation and/or Logistics experience in the resources industry
- Experience in high volume travel bookings
- Experience in managing a rosters of project personnel – attention to detail is key
- Flexible and adaptable approach to changing demands
- Excellent data entry accuracy
- Ability to meet deadlines and manage shifting priorities
- Excellent communication skills
- Proficient with Microsoft programmes, in particular Excel
- Experience with OPMS is advantageous
- Good sense of initiative and the desire to be part of a hardworking team
- Ensuring adherence to internal procedures and policies, and all relevant legislation
