Job description

Agency Purpose

The Australian Electoral Commission (AEC) is an independent statutory authority established by the Australian Government to maintain an impartial and independent electoral system for eligible voters through active electoral roll management, efficient delivery of polling services, and targeted education and public awareness programs.

The AEC’s values and commitments

The AEC values and commitments are an essential component of our operating environment and frame how AEC staff work. The AEC's focus is on electoral integrity through the values of quality, agility and professionalism.

The Team

The Industrial Elections and Ballots Program (IEB) is part of the Service Delivery Group of the AEC. IEB events, including Industrial Elections, Protected Actions Ballots, and Fee-for-Service electoral events, are conducted by two dedicated operational delivery teams based in Victoria and New South Wales. Additional AEC network staff may support IEB events when available.

Work is conducted in a collaborative team environment with staff members supporting each other to conduct individual events and projects. The high volume and diversity of IEB events creates a dynamic work environment that can offer plenty of fresh challenges, exciting projects and excellent development opportunities for highly motivated candidates who want to make a positive impact on Australia through supporting democratic processes.

The AEC is committed to the APS values of being impartial, committed to service, accountable, respectful, and ethical.

The Opportunities

The Project Officer in the IEB will be responsible for managing projects relating to electoral events and assisting with delivering your teams operational objectives to provide high quality electoral services to stakeholders. The projects will largely relate to event planning and co-ordination, as you will be undertaking risk management, allocating project resources, liaising with stakeholders, and undertaking detailed project planning.

This role will provide significant opportunity for development of your project management, communication, and planning skills through a variety of tasks and projects that will allow you to expand on your professional skillset.

The Senior Project Officer supports the Assistant Director of the Industrial Elections and Ballots Program in the routine management of matters relating to the conduct of elections and ballots for organisations registered with the Fair Work Commission, protected action ballots and fee-for-service electoral events.

This is an agile position that requires engagement and collaboration with other Project Officers to ensure that electoral events are successfully delivered, noting that many events will be underway at any one time. This position will also undertake project-based activities that contribute to longer-term initiatives and support the successful delivery of a forward year work plan. The amount of time dedicated to the support and delivery elements of this role will be as directed by management and will change as the priorities of the Industrial Elections and Ballots Program necessitate.

To excel you’ll have:
Demonstrated ability to successfully plan, co-ordinate and deliver events and/or projects of significant complexity within set timeframes.
Experience in supervising a small team to ensure high quality outputs while operating within a strict legislative and policy framework.
Strong organisational skills including the ability to effectively prioritise tasks and efficiently utilise resources.
Proven ability to utilise audience specific written and verbal communications to cater to a wide range of stakeholders.
Experience in supporting the development of team members at lower classifications, building team capacity, and facilitating career development.
Experience in developing and managing key external relationships, including managing stakeholders to achieve program and agency goals, and representing the agency by promoting its interests in various forums.
Ability to contribute to project and event delivery reviews including assessing the effectiveness of the various actions and risk controls.
Ability to coordinate the recording of information in relevant systems to ensure the provision of baseline data to support strategic planning for the program.
Ability to manage small project teams on occasions, to ensure high quality output, with the capability in providing project reporting.

Eligibility

AEC employees must be Australian citizens.
Any person who is, and seen to be active in political affairs, and intends to publicly carry on this activity, may compromise the strict neutrality of the AEC and cannot be considered.
Applicants are required to consent to, undergo, obtain and maintain a character clearance.
