Details of the role
- A full-time, Monday to Friday role. Part-time is not practical.
- Our operating hours are 8 am-5 pm April to October, with 1 hour unpaid lunch breaks. 7 am to 4 pm QLD time during NSW daylight savings from October to April so you finish work earlier over the summer months. Your start and finish times may vary slightly based on workload and staffing on given days.
- We will confirm we can meet or exceed your salary expectations at the next step of the process. Salary sacrificing is available.
- A paid job trial (of a day or a few days) will be offered to the best applicant; you could take a leave day from your other role. This is to ensure the role is a good fit for you before you need to give notice in your current role. We want the best applicant to be sure the role is what they want.
- Training in the role - You will be trained in and rotated through all roles within the business as part of your training to ensure you are familiar with the software and processes we use. You will build up to more managing of processes and staff over time as you become familiar with how things work.
Key functions of the role
- Problem Solver - You will be the team’s go-to problem solver and support person for staff when less common issues arise.
- Coordinator of day-to-day operations - You will ensure key tasks are prioritized and completed across all practices. You will monitor the fluctuating workload of all staff and redistribute tasks or help out where necessary. Staff sometimes need support when they have too much to get through on a given day or we have staff on leave.
- Systems and Processes - You will manage and improve processes in our admin system to ensure consistency and proactively manage common issues. You will help us record and organize any learnings. You will help implement improvements to our processes and systems to help us improve service quality over time.

- You have a growth mindset - you believe mistakes and setbacks are opportunities for us all to learn and improve from. You are comfortable giving and receiving feedback in order to help the team and yourself improve and grow professionally over time.
- You are a hands-on manager and like to lead by example. You model clear communication, composure in stressful situations, and empathy towards staff and clients. You are someone who isn’t afraid to get in and get your hands dirty when required to ensure everything is done.
- You are comfortable using and learning new software and technology. You are used to being the person other staff, or your family members, come to when there is a technology-related issue they can’t solve on their own. You are accustomed to troubleshooting and fixing issues within practice software that arise.
