This position is located at the Community Forensic Mental Health Service (CFMHS) in Clifton Hill, 15 minutes from Melbourne's city centre. CFMHS is a specialist state-wide agency that works with individuals who have a serious mental health illness and have offended or are at risk of offending. Our CFMHS Service is soon to be expanding our services to Regional Victoria with Barwon services the first region being commenced.
Duties:
- Ensure a timely response to all incoming calls to the clinic, takes messages, and provides a prompt
- response to enquiries.
- Maintain the daily Emergency Responder Roster.
- Maintain an efficient office information filing system.
- Enter patient and other data onto information systems.
- Deals with difficult or distressed clients in a calm and courteous manner.
- Demonstrate a thorough understanding and apply to practice the standards of their relevant
- professional discipline.
- Complete procedures in accordance with Forensicare’s policies.
- Comply with National Standards for Mental Health Services.
- Assist in the training of new administration staff.
- Participates in mandatory safety training and any Forensicare specific mandatory training on an
- annual basis as defined in the Forensic Skills Recognition and Development Policy.
- Participate in Performance Appraisal Process.
- Co-ordinate the flow of incoming mail and register outgoing mail.
- Maintain fax emails and faxes, assist users, send and retrieve faxes.
- Appropriate experience and demonstrated ability to provide a professional and confidentialreception service, including the use of a PABX telephone system.
- Desirable experience in learning and working with different information systems.
- Intermediate word processing, spread sheet and Microsoft Outlook (email and calendar) skills.
- Excellent communication and interpersonal skills and the ability to maintain confidentiality.
- Ability to deal with a challenging client group in a non-judgemental manner.
- Ability to demonstrate excellent organisational and time management skills, with the ability to prioritise and meet deadlines.
- Some knowledge of medical terminology.
- Desirable but not essential in understanding of the legal framework, court system, and legislation as it relates to Forensicare.
- An awareness of the organisational structure of the facility and of departmental policies and procedures.
- Excellent supervision and investment in the skill development of all our team members.
