The opportunity
As our new Receptionist/Administration Assistant, you'll play a crucial role in managing our administrative tasks and keeping our team on track. From responding to client queries to juggling schedules via Cliniko, you'll be at the heart of our daily operations, helping us provide top-notch care to our clients.
It's not all about paperwork though! We're looking for someone with a warm, welcoming attitude to greet our clients and keep our office atmosphere positive and friendly.
What you'll do
With around 15 team members counting on you for support, multitasking and prioritisation skills are key. Some of your main responsibilities will include:
- Manage daily online calendars and schedules for our Therapists via Cliniko
- Client intake procedures, responding promptly to phone calls and online enquiries, ensuring all communications are promptly addressed
- Extend a warm and friendly welcome to clients visiting the clinic
- Perform general office tasks as needed, such as email correspondence, management of confidential client files, and document scanning and shredding
- General day-to-day cleaning and maintaining a professional environment
- Additional, related tasks as required by our Client Services Development Manager

What you need
- Possess a current Working with Children Check (employee, not volunteer)
- Prior experience using Cliniko practice management software is strongly preferred
- Minimum of 2 years of experience in a similar role
- Proficient computer skills are essential
- Demonstrated excellence in attention to detail and communication, both written and verbal
- Maintain a professional appearance at all times
- Display self-motivation and the ability to work autonomously
