The Role
We are looking for a receptionist to join our team on a full-time basis, working 38 hours per week.
As frontline of the business, you will be the first point of contact for our clients and visitors, so you must have a happy and positive ‘can do’ attitude and professional appearance. You will also be able to demonstrate maturity and initiative, be confident in verbal and written communications, capable with computer skills and an aptitude to learn new things and solve problems while working with a professional team.
Reporting to the Manager, proactively assist the team to exceed their clients’ service expectations you will be responsible for managing the reception area, answering calls, greeting clients, managing diary appointments, and other reception duties associated with the role.
Responsibilities in this role:
- Greet and assist clients and visitors in a friendly and professional way
- Answering and direct phone calls in a courteous and efficient manner
- Manage diary appointments and bookings for staff and clients
- Handle incoming and outgoing mail collection and distribution
- Manage enquiries (both verbal and written)
- Clients file management, electronic data entry, maintain client online portal
- Maintain the reception area clean and tidy
- Perform general administrative tasks such as filing, copying, scanning etc
- Running errands
- Understand the culture and goals of the organisation and the team
Requirements, Knowledge and Skills (Selection Criteria)
- Previous experience in a similar environment
- High attention to detail
- Excellent verbal and written communication skills
- Excellent interpersonal skills
- Confident, positive, well-spoken and have a professional manner
- Good organisational skills and excellent attention to detail
- Able work independently, be flexible and willing to take on the responsibilities
- Ability to multitask and prioritise tasks
- Knowledge of Microsoft Suite
- Ability to work to deadlines, continually improve and embrace change staying connected with evolving world of technology
- Reliable, punctual and flexible
