This role is a genuine, career opportunity for a ‘career’ Receptionist/Administrative Assistant, to work 08:30am to 5:00pm, Monday to Friday in their well-appointed offices in Staplyton QLD. This is a key role, where you will be welcoming guests, clients and visitors, making them feel welcome and providing ad-hoc administrative support to the sales team.
What you will bring to the role:
- Minimum 5 years’ experience in a Receptionist/Administrative Assistant role
- Excellent communication skills, both verbal and written with experience in front desk reception, customer service and administrative support
- Exceptional stakeholder engagement, internal and external, with a consistent professional welcoming helpful manner
- Experienced with MS Office Suite applications including Outlook calendar management
- Experience with ADOBE DocuSign
- Experienced with a pro-active, continuous improvement focus, by contributing to the improvement and efficiencies of office systems and processes where required i.e. initiative
- Experienced in document scanning, printing and collating and binding proposals
- Experienced in overseeing OH&S coordination and management, e.g. ensuring no trip hazards in the offices, First Aid Kits are up to date, help in coordinating Fire warden duties/management e.g. coordinating building fire drills etc
- Experienced in the management and distribution of building access passes for staff and access pass register management
- Experienced with scanning and collection of mail
- Experienced with setting up internal meetings in the Boardroom and occasionally, external meetings and staff meetings/functions off-site
- Experienced with organising couriers and pick-ups
- Experienced managing and ordering office and kitchen supplies
- Experienced with managing the organisation and tidiness of offices including stationary areas, kitchen areas and fridge, meeting rooms, watering plants and other ad hoc office duties
- Experienced organising & coordinating contract cleaning supplies & other ad hoc office maintenance and repair requirements
- Experienced with organising monthly team celebration value awards and other events e.g. Staff EOFY party, Christmas Party, and fund-raising events
- Experienced maintaining team birthday lists, birthday cards and birthday cake catering
