Job description

Our participant support team is responsible for the effective management of support systems that enable our therapy team to offer the best interventions for the children they work with.

As a first point of contact for our participants, we are looking for a professional person who is reliable, efficient, highly organised, and capable of prioritising tasks to meet competing deadlines. You will be a confident communicator, both on the phone and in person. You will be willing to step out from behind your desk to play with and support participants and their families. You will foster supportive relationships with families who visit Red Frog for Families and within the broader community. You will have a strong work ethic, good time-management skills, and practice personal wellbeing. You will be able to gather information from multiple sources and think critically to independently complete tasks.

You will support and collaborate with other members of the administration team, our team of therapists, our community access/disability support worker team, volunteers, and students to provide support to our participants. You will be a team player who enjoys bringing out the best in others.

The purpose of this role is to coordinate and prioritise day-to-day tasks of the participant support team members whilst also acting as a valued member of that team. This role includes (but is not limited to) reception duties and clinic administration tasks to support community access, participant support, therapy, and management teams.

Key Responsibilities

  • Operational support including rosters, systems, processes, and continuous improvement.
  • Leadership to the participant support team
  • General administration including phone and email enquiries, session scheduling, resource preparation, database and file management

Essential Criteria

  • Current Working with Children Check
  • Current NDIS Worker Screening Check
  • Police Criminal check
  • Current First Aid Certificate
  • An inclusive mindset to recognise the value and potential of people with disability
  • Non-judgemental approach to disability

Selection criteria

  • Demonstrated ability to prioritise and delegate work in a dynamic environment that presents competing priorities.
  • Experience working with children with disability and their families.
  • Previous experience scheduling or timetabling activities, resources, or therapy sessions.
  • Demonstrated ability to work effectively in a busy administrative role in a complex organisation, requiring the ability to plan, organise, and prioritise within a changing environment.
  • Ability to provide effective customer service; capacity to identify and respond quickly to needs and urgent matters, applying a problem-solving approach to challenges.
  • The ability to communicate confidently, respectfully, clearly, and succinctly; to listen to others; and to prepare written material that is concise, accurate, well-structured, and easy to follow by the intended audience.
  • Ability to analyse written information, including correspondence and documents, to support appropriate and timely responses.
  • Ability to quickly and effectively build rapport with people of various backgrounds, abilities, and cultures.
  • Competency using computer software programs for tasks including word-processing, emailing, internet searching, invoicing, scheduling and data entry and the ability to readily learn new systems and programs.
  • Familiarity with disability funding including NDIS funding and processing.
  • Certificate IV in business administration or equivalent is desirable.
