We are seeking an Administration Assistant/RV Coordinator to join our team and provide administrative assistance to the General Manager of Residential Service and his team. ABOUT THE JOB

As an Administration Assistant/RV Coordinator, you will serve as a central communication point, facilitating seamless interactions between the Residential Services Team and various stakeholders. Additionally, you will be responsible for managing and maintaining essential documentation, schedules, and logistics to enhance operational efficiency for the organization's leadership. ABOUT THE ROLE Administration Support: Serve as the primary point of contact for the

General Manager of Residential Services Assist from time to time with diary management Draft reports and prepare presentations. Undertake ad-hoc additional tasks as required, such as research and preparation of professional presentations and reports. Assist with the submission of key documents to TSA and external stakeholders as required.

Assist with any tasks that are required from the Retirement Living Team Assist with tasks from the scheduling / ANACC team Meeting Support: Provide support when required. Information Management: Manage electronic and physical files, ensuring they are organized and up-to-date. Maintain and update staff distribution and contact lists.

Onboarding, Cross boarding, and Offboarding: Help set up new hires, including induction and registration for orientation. Assist in team member role changes, including equipment transfers. Support departing team members and their managers, including arranging exit interviews and ensuring equipment and property are returned.

Stationery Management: Oversee inventory and stock levels for office stationery in the office. Organize and maintain storage areas for easy access to supplies. Regulatory and Compliance Support: Assist with re-accreditation applications.

Travel Coordination: Organize domestic travel arrangements. Manage booking flights, car hire, and accommodation and prepare comprehensive itineraries. Minute-Taking: Attend multiple forums and meetings, ensuring accurate and timely documentation of proceedings.

Demonstrated excellence in interpersonal/communications skill Ability to develop, implement and evaluate organisational policies, procedures and practices Highly organised and able to manage competing priorities. Possesses initiative and is a self-starter. Advanced skills in Microsoft Office (including Word and PowerPoint), SharePoint, and OneDrive Ability to handle confidential information with discretion.
