Job Summary:
The Rostering and Administration Officer is responsible for the efficient management of staff scheduling and providing comprehensive administrative support across the organization. This role requires a high level of organisational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
About the role:
Applicants that have the following desirable traits will be strong contenders:
- Qualification/degree in relevant area desirable
- Minimum two years’ experience in a health/disability administration role
- Effective time management and prioritisation skills
- Strong organisational skills, high attention to detail, and good problem-solving abilities
- Experience working as an Admin officer
- Proficiency in Microsoft Office and relevant NDIS software applications such as, Care Master AND Shift Care.
Candidates with experience in NDIS will be highly sought after.

Key Responsibilities:
Rostering Coordinator Aspect:
Develop and Manage Rosters:
- Create, maintain, and update rosters for all employees, ensuring optimal staffing levels to meet organisational needs using Care Master.
- Utilise rostering software to forecast and track staffing requirements.
- Coordinate with department heads to understand staffing needs, including shifts, leave, and special events.
Communication:
- Serve as the primary point of contact for all roster-related queries from staff.
- Notify employees of their scheduled shifts in a timely manner and manage any scheduling conflicts that arise.
- Handle leave requests and ensure there are adequate staff to cover absences.
Reporting and Compliance:
- Monitor hours worked by staff to ensure compliance with labor laws and organisational policies.
- Prepare reports on staffing levels, overtime, and leave balances for management review.
Administration Officer Aspect:
Administrative Support:
- Perform a variety of administrative tasks including document preparation, data entry, and maintaining filing systems.
- Manage correspondence, including emails, phone calls, and mail, ensuring timely and accurate responses.
Meeting Coordination:
- Arrange meetings, including scheduling, sending reminders, and organising necessary materials.
- Take minutes during meetings and distribute them afterwards.
Project Support:
- Assist in the planning and execution of projects, ensuring administrative tasks are completed within deadlines.
- Coordinate with external vendors and service providers as needed.
Key Responsibilities
- Deliver an exceptional experience to our clients, external partners and staff in answering all enquires via phone/email
- Provide administrative support to assist with NDIS intake, on boarding, billing processes, data management, ongoing administration for NDIS participants and compliance of the service level agreement processes
- Assist in calendar management and appointment scheduling
- Communicate with Internal/external stakeholders such as local area coordinators, support coordinators, and service providers
- Maintain electronic and hard copy filing systems
