Job description

RESPONSIBILITIES

 

1. Assist with general administrative services within the office

 

Main Activities

 

·         Plan and organise the copying, filing, storage and security of documents

·         Respond to customer inquiries via telephone, internet and face to face.

·         Data entry of student files into student management system

·         Issuance of certification via email and post

·         Assisting with marketing campaigns and surveys

·         Assist with minor office cleaning duties i.e. washing up, emptying rubbish etc.

 

 

2. Assist with the administration of training and assessment activities in order to ensure that they are maintained in an accurate and timely manner

 

Main Activities

 

·         Liasing with clients to schedule training and assessment courses

·         Prepare training and assessment material including photocopying, stapling, collating etc

·         Input training activity into student record system

·         Compliance checking of completed assessments

·         Assisting trainers as required

·         Assisting students as required

·         Assist with preparation, sending out and follow-up of  invoices

 

3. Perform other duties as required

 

Main Activities

 

·         Prepare ad-hoc reports for Directors as required

·         Assist with preparation and conduct of DET or other regulatory body audits

·         Assist with preparation of company policies and procedures

·         Take meeting minutes i.e. committee or company board minutes

 

 

KNOWLEDGE, SKILLS AND ABILITIES

 

Knowledge

 

The incumbent must have proficient knowledge in the following areas:

·         computer programs

·         office administration

·         an understanding of relevant RTO legislation, policies and procedures is desirable

 

Skills

 

The incumbent must demonstrate the following skills:

·         effective verbal and listening communications skills

·         effective written communications skills

·         computer skills including the ability to operate computerized spreadsheet and word processing programs at a highly proficient level
