THE ROLE
We are currently recruiting for a dynamic and proactive full-time Sales Administratorto provide administrative support to the Sales and Marketing team, including the processing of shipping and invoicing for Toyota, Hino and Yamaha products to TTSPH Group distributors and non TTSPH Group owned companies.
More specifically, you will be involved in the following:
- Monthly processing of Toyota, Hino and Yamaha shipping invoices across the South Pacific region.
- Coordination and processing of shipping documentation and invoicing for export distribution of vehicle units from various sources.
- Ensuring all distributors are supplied with regular shipment information and freight documentation to provide optimum customer satisfaction.
- Updating of the shipping schedule and providing this to countries as required (generally multiple times each month as shipping information is provided and updated).
- Monthly processing of Yamaha product and rigging order sheets.
- Assisting countries with order processing including the vehicle requirements and associated administration.
- Assisting in generating and updating sales reports by utilising the data extracted from the dealer management systems.
- Assisting in updating the product information in the dealer management systems to ensure the maintenance of model information in the systems is kept up to date.
- Supporting the team with updating product specification sheets on a regular basis, in line with model specification changes.
- Reviewing the information on the distributor’s website to ensure it is current and up to date.
- Updating the department documents on SharePoint sites as required.
- Working with Sales and Marketing Team to upload department processes and associated manuals to BPM (Business Process Mapping) site for the team.
- Assisting in processing marketing merchandise orders and coordinating logistical arrangements.
- Providing administrative support in organising the annual sales conference.
- Proficiency in the use of Microsoft Office suite, with advanced skills in Excel.
- Experience in administrative task such as invoicing or international import/export/shipping trade would be highly desirable.
- Proactive and can-do attitude with excellent attention to detail.
