About You

The Senior Coordinator, Student Records is responsible for the maintenance of accurate, confidential, timely, and integral Student Records processes at Australian campuses, while also meeting RMIT's legislative reporting and funding obligations.

The Senior Coordinator manages and is accountable for operationalising a complex range of activities and events that rely on specific tasks being carried out by staff across the organisation. In so doing, the position fosters a culture of continuous improvement by reviewing business processes, identifying opportunities for improvement, and implementing changes to continue meeting University objectives.

The Senior Coordinator supports the Manager, Student Records by developing and leveraging strong collaborative relationships with key internal and external stakeholders to devise and implement appropriate strategic solutions ensuring that Student Records are effectively managed in line with emerging scenarios or changing government requirements.

The Senior Coordinator develops and leads a team to achieve key accountabilities of the position and instills a focus on delivering quality student administrative services.

To be successful in this position, you'll have as a minimum:

  • Demonstrated ability to analyse and interpret a range of information and to address and communicate complex issues.

  • Substantial experience in devising, recommending and implementing university wide improvements to administrative procedures and functions.

  • Demonstrated capacity to co-ordinate a complex process with high organisational impact.

  • Demonstrated ability to lead a team in the delivery of quality student administration services, including sound knowledge of relevant University policies and procedures.

  • Demonstrated skills in providing leadership while working in a collegiate manner by building and maintaining effective and productive professional relationships with a wide range of stakeholders internal and external to the University.

  • Demonstrated ability to plan and schedule conflicting and complex activities.

  • Demonstrated ability to find creative solutions for complex problems and ability to work independently to quickly identify the priority issues and take action without specific direction where appropriate.

  • Well-developed interpersonal skills and the ability to communicate clearly across a range of mediums to achieve shared understanding including demonstrated cultural sensitivity and cross-cultural communication skills.

About the Portfolio

The Education Portfolio is led by the Deputy Vice-Chancellor Education and Vice-President who is responsible for planning and implementation of the University's strategies related to RMIT's academic programs and the student experience. The Portfolio is responsible for services to support the quality of RMIT programs, including the professional development of academic staff, continuous improvement of the student experience, learning and teaching outcomes and the management of learning and research information sources.

The Education Portfolio plays a key role in empowering students to access education, participate actively in the life of the University and achieve successful and fulfilling lives beyond graduation. The provision of a stimulating and satisfying experience for students is a priority for the University.

The Academic Registrar's Group (ARG) is responsible for a range of activities underpinning the student lifecycle from enrolment though to graduation. The ARG operating environment is highly complex in view of more than 82,000 student enrolments across the University in both vocational and higher education programs at campuses in Melbourne, Europe and Vietnam, as well as at several offshore locations in conjunction with educational and industry partners.

RMIT has one of the highest numbers of international student enrolments within Australian universities; consequently, compliance requirements are significant with State and Federal legislation imposing numerous and frequently revised regulatory obligations.

The ARG has a staff establishment of around 140 EFT in Australia and Vietnam, and an operating budget in excess of $20 million.

Core University services provided by the Academic Registrar's Group include: Integrity: academic policy, student conduct, student complaints, university appeals, assessment support including special consideration, results and academic progress; Academic Governance and Systems: government reporting, system operations, academic governance; Enrolment and Student Records: student financials, enrolment services, Student Records, governance and compliance, and global enrolment services; Completions and Graduations: program completions and graduation ceremonies.
