AO4 & AO5 Executive Officer / Executive Assistant
$54.34 - 67.97 per hour + Super (PAYG Contractor 38 hours p/w)
ASAP start – Initial 2-3 month contract (potential to go permanent)
Brisbane CBD location (hybrid)
ABOUT:Six Degrees is excited to be partnering with two of our State Government clients in the recruitment of an AO4 Executive Assistant to a Deputy Director General and an AO5 Executive Officer to a Chief Executive Officer. Both are initial contract opportunities with the potential of extension/become permanent.
AO4 Executive Assistant to DDG
Reporting to the Manager of the Office of the DDG you will provide a high level of confidential executive and administrative support to the Deputy Director-General, including proactive stakeholder management to support the Deputy Director-General, including high-level engagement, prioritising appointments, engagements, and meetings.
preparing supporting materials in advance to ensure that the Deputy Director is supported for meetings, appointments, forums, and workshops.
Develop, implement, and maintain office and administrative systems to support the workflows into and out of the Office of the Deputy Director-General including the planning and monitoring of deadlines and the necessary actions to meet deadlines.
Manage and maintain office equipment and associated technologies,
Maintain the records management system and administer the flow of correspondence into and out of the DDG’s office, including completing follow up actions.
Communicate and liaise with officers at all levels of the department and other government agencies, including senior executives, ensuring a high level of customer service and maintenance of effective working relationships.
Process invoices and manage corporate card activities and processes for the Office of the Deputy Director-General.
Assist in the preparation of BoM meeting papers for the Deputy Director-General.
Organise all Travel and Accommodation
Collate receipts for DG Approvals for DDG Recovery of Costs (out-of-pocket) expenses.
AO5 Executive Officer to CEO
Reporting to the Director of Executie Services you will deliver high quality executive advice, support and co-ordination for the CEO (and Chair of the Board) including diary management, email inbox management, and other administrative duties as required in a fast-paced and sensitive work environment.
Manage all travel arrangements (domestic and/or international) for the CEO and Chair of the Board.
Manage the Office of the CEO shared mailbox and co-ordinate responses to requests (from internal and external sources)
Cover engagement across the organisation to ensure the CEO and Chair of the Board are prepared with briefings ahead of key meetings and engagements.
Work with the delivery and coordination of business events and projects.
Compelte a range of administrative functions including purchase and payment of goods and services, credit card reconciliations and gift and lobbyist declarations
Review, prioritise, direct and delegate a wide variety of complex and confidential requests that are presented to the CEO for consideration.
Respond or redirect confidential inquiries from external or internal sources.
Essential Criteria:
Demonstrated ability to provide high-quality confidential administrative support, including executive diary management, travel arrangements (domestic and international), and research skills.
Demonstrated organisational and time management skills to manage conflicting priorities
High level written and verbal communication skills including negotiation skills to ensure high-quality and timely delivery of documents
Proven effective consultative, communication, interpersonal and negotiation skills appropriate to an environment of change and evolution of a high level of agility.
Ability to work in a team and maintain positive relationships with internal and external stakeholders to ensure business continuity.
Demonstrated judgement and analytical skills to provide effective solutions in difficult situations
Extreme attention to detail and quality assurance skills
Highly Desirable:
Systems experience using SAP or Promaster for processing and managing payments and claims
Experience managing corporate credit cards
Experience working within QLD Government
