Job description

The Role:

The Senior Executive Support Officer is responsible for the effective management of a comprehensive range of high quality, professional, confidential and responsive Executive Support services to the Chief Executive. This includes the maintenance of key relationships and networks including ministerial offices, diary management, researching information, delivery of projects, and the improvement of business processes and capabilities to support the directorate and Department's objectives. The Senior Executive Support Officer is also responsible for facilitating a collegiate, professional, and effective network amongst other support staff for executives, with the aim of ensuring effective cooperation, coordination, and collaboration across the Department.

About You:

To be successful in this position, you must be able to demonstrate experience across the following key capabilities: 

  • Ensuring professional, responsive and effective services are coordinated and delivered, including: 
    • Diary management
    • Research
    • Comprehensive meeting coordination.
    • Financial processing and monitoring.
  • Ensuring office correspondence, ministerial requests and document requirements are professionally coordinated, prepared and delivered, including the provision of advice and support in the development of correspondence, reports and presentations.
  • Providing information and advice on a range of issues and identify and addressing complex issues, including forward planning. 
  • Preparing responses for briefings, minutes and general correspondence as required. 
  • Working in collaboration to ensure:
    • the Chief Executive, DTI iswell briefed on issues through provision of advice on appointments, correspondence and coordination of appropriate briefing materials, presentations and speech notes; including the drafting of these documents; and
    • projects are professionally planned, managed and delivered to support the Chief Executive, DTI and Department.
  • Overseeing the coordination of agendas and papers for meetings, as well as recording of actions and timely follow-up on action items.
  • Managing the flow of work though the Chief Executive's office to other parts of the directorate and Department.
  • Exercising a high level of judgement and discretion in responding to emails and enquiries on behalf of the Chief Executive, DTI and in delegating appropriate matters to officers to prepare timely responses and management of departmental and government matters.
  • Applying a sound operational knowledge of administrative processes, procedures, practices and policies guide work processes and to continuously improve the systems used.
  • Contribute to a supportive and professional team environment that operates under inherently high levels of pressure, competing demands and acute timelines.
  • Support Departmental and across-government objectives by:
    • promoting a collegiate environment and culture among the Senior Executive officers/ assistants.
    • identifying, developing and improving business processes.
  • Strong forward planning to ensure timely delivery of advice and projects to the Chief Executive, DTI and facilitating advice on emerging issues.

Desirable Qualification:

Certificate level qualification in a field relevant to the position, and/or substantial relevant professional experience.

Special Conditions

Successful applicants may be required to obtain a satisfactory Department of Human Services Criminal History Check or National Police Check prior to employment. A renewal will be required every 3 years.

Remuneration:

ASO5  - $84,522 min  - $94,003 max
