Senior Production Coordinator - Aje

The Senior Production Coordinator is responsible for administering, facilitating and overseeing the production and manufacturing of all Aje products. Ensuring Aje high standards are delivered through product manufacture, price and ensuring premium quality perpetuates through the entire collection, while maintaining delivery of product into retail stores in full and on time. The Senior Production Coordinator will work closely with the wider departments including: production, design, logistics, merchandise and offshore suppliers.

The ideal candidate should possess a range of expertise in a variety of womenswear categories including: ready to wear, denim, cut and sew, swimwear, knitwear and accessories, within a contemporary or luxury fashion capacity. In this fundamental role, it is crucial for the candidate to have a skill set in system management (preference to AP21), data entry, fabrication & trim approvals, care label allocation and sample tracking.

The successful candidate will be working with a dynamic team and must have the ability to work autonomously, efficiently and accurately with a high level of organisation, as well as capability to delegate within the team environment.

KEY RESPONSIBILITIES

Critical Path / Production

• Oversee production across all purchase orders, ensuring potential issues or concerns are communicated to key stakeholders in a timely manner
• Work closely with the Production Manager to ensure seasonal timelines are maintained according to the company wide critical path, while seamlessly managing 3-4 seasons at one time.
• Responsible for the entire production schedule of delivering seasonal and monthly orders on time without any delay according to Aje Critical path
• Ensuring all risk where a delay to production delivered to retail is mitigated and reduced.
• Organize, attend and document handover of the new season from design to production.
• Responsible for raising, communicating, confirming and sending purchase orders to all suppliers in accordance with the final merchandise order file & AP21 sales orders
• Update company systems ie AP21 where necessary relating to production department
• Warrant that all suppliers adhere to the delivery window for each purchase order placed
• Liaise with the design team to ensure any design issues that may affect production and delivery timelines are resolved with urgency
• Manage physical QC on delivered product where necessary with final report to production and logistics team
• Weekly reporting and updates for Production, Logistics and Garment Tech Team.
• Distribute accurate barcode data to all suppliers against all channels, ensuring artwork and layouts are correct for each retail channel
• Maintain shared production tracking document to ensure production is tracked across all stages

Garment Tech and Product

• Request, track and monitor pre-production and shipment samples in line with critical path
• Track receipt and approval of pre-production and shipment samples. Distribute to Garment Techs for timely processing
• Ensure pre-production and shipment sample comments are processed within acceptable timeframe
• Provide a weekly update and forecast of incoming samples to the Garment Technician Manager to effectively plan the Garment Tech’s workflow
• When the Production Manager is not able to attend, sit in on fit sessions to monitor production progress
• Support all suppliers and the wider team to solve specific make, fabrication or construction queries.
• Manage and resolve any quality issues and faulty garments to ensure delays are kept to a minimum.
• Assess and resolve any consumer and wholesale returns and ensure any recurring issues are addressed

Suppliers

• Build and maintain existing supplier relationships
• Work to improve product margins and supplier discounts
• Regular problem solving with production issues, present solutions and negotiate outcomes with suppliers
• Develop sustainability initiatives to improve current practices
• Adhere to the AJE Collective Supplier Code of Conduct which is committed to nurturing positive engagement and working collaboratively with its suppliers to ensure transparency, traceability and continuous improvement for the welfare of people and the planet across its supply chain

Product

• Manage and approve all bulk production fabrics, linings, and trims against set standards from design.
• Create and maintain the bulk fabric and trim library
• Work closely with design, buying and merchandising team to ensure quality products are delivered in line with the company expectations and parameters
• Organsie, store and rotate hanging and boxed production samples in the Aje Atelier in conjunction with the garment tech and e-commerce departments

Logistics

• Attend weekly meetings to update on stock planning to move imminently and confirm freight forwarder bookings have been approved by Logistics for movement to chosen warehouses
• Confirm with suppliers bulk is running on schedule and has been booked to hand over to the freight forwarder
• Plan and communicate each season's schedule for SEA and AIR
• In conjunction with logistics resolve any overages, shortages or delays on stock delivered from suppliers with the merchandise team.

Garment Care - QC – Testing Standards and Requirements – Aje Brand Manual and Handbook

• Generate and review accurate care label data to all suppliers against all purchase orders in conjunction with garment tech team and design teams
• Generate care label file for online customer use
• Apply fabric testing standards and requirements, complete sample or fabric testing where necessary
• Complete inhouse sample or fabric testing where necessary
• Contribute to building and updating the Aje production manual
• Assess any consumer and wholesale returns and ensure any recurring issues are addressed

Aje Aware

• Adhere and Maintain Aje Code of Conduct across production supply chain.
• Understand the Audit Supply chain in accordance with code of conduct
• Initiate and drive relevant changes to production team in relation to Aje aware platform
• Monitor and apply the production teams progression against:
• ISO: 14001:2015 Environmental management systems
• ISO 20400:2017 Sustainable Procurement — Guidance

KEY PERFORMANCE INDICIATORS 

• 100% of purchase orders are raised accurately in Ap21 according to the orders published by the Merchandise team
• Accurately update and maintain PO changes in AP21
• Zero reprinting of production barcodes from incorrect reporting 
• Accurate monitoring and tracking and reporting of PP and ship samples, ensuring production is not delayed
• Bulk branded labels, trims, care labels, packaging and barcodes are accurately supplied to vendors in accordance with the production timeline
• Bulk fabric and trims are approved on time
• Accurately create and update the seasonal production tracker ensuring it is a live working document
• Communicate weekly with suppliers to distribute WIPs and update in the production tracker accordingly ensuring samples will be sent on time and inputting any DHL tracking details
• Ensure all suppliers bulk handover dates are confirmed and bookings to the freight forwarder have been made well in advance of the handover dates
• Hold weekly meetings with the Garment Tech Manager and Production Manager ensuring all information provided is up to date and accurate
• Follow Garment Tech approvals/rejections ensuring comments are sent in accordance with the production timeline and all delays are reported to the Production Manager
• Ensure the production budget is strictly adhered to and any price increases or freight mode changes are reported to the Production Manager for approval

• 3-5 years production experience working in contemporary or luxury fashion
• Knowledge in a variety of womenswear categories including: ready to wear, denim, cut and sew, swimwear, knitwear and accessories
• Excellent proficiency in AP21 + Excel
• Experienced in offshore manufacturing
• Fabric knowledge encompassing jersey, Knit and woven from delicate to structured fabric bases
• Tenacious, assertive, and determined attitude with excellent attention to detail and data accuracy
• Highly organized and numerical with excellent problem-solving skills
• Able to work efficiently and quickly without compromising quality
• Adeptness to organize, prioritize, and pivot workload in a dynamic environment
