Service Coordinator (Maternity Leave Cover)
Micra Air Pty Ltd is a commercial air conditioning, service and maintenance business based in Mulgrave, Victoria.
We are seeking a Service Coordinator/Administrator/Personal Assistant and general all rounder to assist in the running of the service department of our business.
The primary duties of this role will be to assist in the scheduling, coordination and management of our technicians through our job management software, SimPro. Additionally there will be administrative tasks including being the first port of call for all customer enquiries as well as assistant to our director.
Responsibilties:
- Being the first point of contact for client work requests
- Preparation of quotes, jobs and invoices in SimPro
- Schedule the allocation and distribution of works, maintaining open communication with all service technicians and subcontractors to ensure the successful completion of client requirements
- Administer OHS compliance requirements
- Filing and clerical duties
- Improving business procedures
- Provide administrative assistance to the director as needed
- Coordinate scheduled maintenance activities into a logical work order sequence
- Contract management
- Manage all incoming and outgoing materials from suppliers and coordinate with technicians to have available for jobs
Key Competencies
A practical aptitude and the ability to be a self-starter is crucial to this role. We are looking for a candidate with:
- Exceptional verbal and written communication skills
- Advanced computer skills and ability to pick up new software quickly
- Intermediate computer skills: Microsoft Word and Excel
- Ideally the successful applicant would come from a service industry background where they have dealt with dispatching field staff or technicians
- Experience working as a general all-rounder in a small business
- SimPro experience an advantage
- Must be able to work autonomously without supervision as well as within the team
The ideal candidate must be willing to be thrown into a busy environment and manage all aspects of the business. They will have experience and knowledge implementing new computer software applications therefore advanced computer skills is a must.
Hours will be 7am-3pm or 8am-4pm Monday to Friday. Minimum of 3 days working in our office.
