THE ROLE 
We are currently seeking an experienced Supply Chain Coordinator to join our team on a full-time basis

Reporting to our National Supply Chain Manager, this role is responsible for assisting in the day to day purchasing activities and inventory management.  The Supply Chain Coordinator prepares outstanding order reports, follows up deliveries with suppliers, shipping/transport companies and ensures on-time delivery of orders. Also, this role manages all shipping documents end to end in the Supply Chain.

SPECIFIC DUTIES AND RESPONSIBILITIES:

• Enter purchase orders and place them with suppliers as guided by the National Supply Chain Manager or Assistant Manager – Supply Chain.
• Receive suppliers’ delivery forecasts and update them in the Netsuite ERP system.
• Track all container deliveries from Origin port until delivery and update Netsuite ERP with ETAs.
• Prepare outstanding order reports, follow up deliveries with suppliers, and shipping/transport companies, and ensure on-time delivery of orders.
• Collaborate with logistics providers to arrange efficient transportation and delivery of goods.
• Monitor interbranch transfer orders with transport companies and ensure timely deliveries.
• Collect data related to any damage in-transit, short supply, packaging issues, Chain of Responsibility concerns…etc, and issue non-conformance reports to suppliers or Transport companies and follow them up till closure.
• Maintain systems and processes to track and analyze Supply Chain performance metrics, such as DIFOT, Product Damages, Document Accuracy…etc.
• Check all freight forwarder invoices against the cost template and approve them for payment.
• Monitor Chain of Custody (FSC) declarations on Shipping documents and highlight any variances.
• Maintain the Chain of Responsibility vendor database with up-to-date records.
• Learn how the products are manufactured and the countries of origin.
• Learn about the differences in products and their particular use.
• Learn about the warranties offered on products and paint.

Performance Indicators

• Manage product ETAs in Netsuite at above 98% accuracy.
• Get shipments delivered within 7 days from arrival to Port.
• Close minor NCRs within 30 days of raising and major ones within 90 days.
• Interbranch transfers are completed (transfer order to delivery) within 7 days for East Coast and SA orders, 14 days for orders involving WA.

QUALIFICATIONS/KEY SKILLS/COMPETENCIES/PERSONAL ATTRIBUTES:

• Analytical, problems solving & organisational skills.
• Experience in using ERP systems to manage inventory and purchasing.
• Strong written & verbal communication skills.
• Commercial awareness;
• Exceptional time management;
• Intermediate Microsoft Office suite skill level 
• Strong attention to detail.
• Prior experience in managing imports, highly regarded, although not essential. 
• Awareness of Chain of Responsibility Laws
• Demonstrate the ability to adhere to policy & and procedures.
• Ability to plan, organize and prioritise workload;
• Possess the ability to adapt to changing priorities and demands;
• Minimum of 1 year in a similar role; and 
• Ability to work independently and handle multiple tasks; and
• Positive team player who can communicate and work closely with sales and operational staff to balance conflicting demands.
