Our client is a worldwide well-known and highly respected brand in the electronics industry. This position will sit within the Workplace Solutions department based at the Sydney Olympic Park Office. The primary function of the role is to support Mobile Experience Heads of Department and Expats by organising schedules, meetings, travel, and communication efficiently. This role requires an individual to work 4 days in the office and 1 day WFH on a 12 month fixed term contract.Duties and Responsibilities:Expat Team Members
- Arrange complex domestic and overseas travel bookings; raise internal travel approvals
- Liaise with external stakeholders on sponsored travel and events coordinating all logistics
- Coordinate inter-department meetings and liaise with key stakeholders
- Organise meeting logistics such as room bookings, catering and VC bookings
- Expense management for MX Expats only
- Supervise and assist with ad hoc projects as required
- Other duties as requested by the Senior EA and the Leadership Team
- Assist with correspondence and communication
- calendar and ensure teams are aligned to major projects and events
- Manage the meeting room booking system
- Regular review of systems and processes for efficiency and suggest improvements
- Assist with logistics and bookings for HQ VIP visits
- Support to expats with restaurant bookings and travel
- Support President’s EA by providing assistance with requirements for President
- Coverage of Team Admin role during annual leave
- Clear telephone and written communication skills
- Experience in relevant administrative duties, with 2+ years of administrative experience
- Tertiary studies in administrative, finance, or marketing fields
- Desirable: 1-2 years of previous Team Assistant experience
- Proficiency in computer skills and relevant software, including intermediate to advanced Word and PowerPoint skills
- Knowledge of standard office equipment operation and clerical procedures/systems
- Positive "can do" attitude, self-starter, highly ethical, and professional demeanor, with strong teamwork and customer service orientation
