About the role The Finance and Governance division is an enabling function of AEMO and provides strategic legal, advisory, and transactional finance, risk and governance services to the AEMO business.
Working closely with the General Counsel, the Team Assistant will provide essential administration support within our Legal team.
The Team Assistant will have the opportunity to work closely with a range of team members and internal stakeholders. Their focus will be on delivering exceptional assistance to support the smooth running of day-to-day operations and enabling the legal team to perform efficiently. With the diversity this role offers you will have exposure to all aspects of AEMO’s business.
This is a permanent full-time opportunity to be based in Melbourne.
What you will be doing
- Supporting with diary management and co-ordination
- Organising internal and external meetings and preparing meeting materials accordingly
- Document and knowledge management support
- Monitoring legal team input portal/ emails and allocating legal work
- Curating the Legal Centre intranet page, including coordinating reviews by the legal team of policies, guidelines and templates and maintaining the template suite
- Curating the Legal SharePoint folders and Teams sites
- Coordinating team activities and professional development initiatives, including booking venues, organising catering and any other administrative tasks as required
- Creating agendas and tracking of actions from meetings
- Drafting and maintaining documents and correspondence
- Managing DocuSign uploads and approvals
- Preparing purchase orders and processing invoices, including liaising with external law firms and advisers and internal project managers where relevant
- Organising travel (including accommodation, airfares etc.)
- Processing expenses (accounts payable and corporate credit card reconciliations)
- Supporting onboarding of new staff
What you will bring to the role
- Certificate III in Business Administration or similar will be highly regarded
- Proven experience as an Administration, Team, Practice or Personal Assistant in a legal or corporate environment
- Proficiency in the Microsoft Office suite, specifically Word, Excel, PowerPoint, and Outlook
- Demonstrated ability to manage confidential information with discretion
- Excellent organisational and time-management skills
- Strong communication and interpersonal skills
- A strong attention to detail and proactive problem-solving skills
- Inherently self-motivated, with a commitment to continuous learning and a professional enthusiasm
