The Role:
West End State School Outside School Hours Care is looking for a Casual Administration Assistant to support us in our office with all administrative tasks.
West End State School Outside School Hours Care is licensed for over 300 children for its BSC, ASC and VAC.
We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multitask, while maintaining complex schedules and managing administrative support, is essential in this position.
The ideal candidate for this job is resourceful, a good problem solver, great attention to detail and process driven. Assuring a steady completion of workload in a timely manner is key to success in this position.
This role will commence on a casual basis with a move to Part-time possible. The ideal candidate will be required to work ideally minimum of 25 hours per week up to 30. This role also requires an availability from Monday to Friday between 9.00AM-5.30PM. Work hours may be adjusted monthly depending on the needs of the service.
Key administrative responsibilities including but not limiting to:
- Respond to questions and requests for information in person and via phone/email.
- Ensure reception area and the office is always tidy and presentable.
- Receive, sort, and distribute mails/deliveries.
- Keep updated records of service expenses and purchasing records.
- Perform other clerical receptionist duties such as filing, photocopying, archiving etc.
- Assisting and overseeing billings, bookings and other Child Care Management system configurations for the service along with issues.
- Account management regarding fee payments, debt management and generation of any required finance reporting.
- Enrolment related duties
- Data entry.
- HR documentation data entry and record keeping
- Managing cleaning and duty checklist.
- Maintain office supplies by checking inventory and order items.
- Provide basic First Aid to children and staff when needed.
- Provide support to the Management team as required.
The ideal candidate will have:
- Previous Administrative experience in the Childcare industry (preferable).
- In depth knowledge of Childcare Management Software (we use OWNA) or willing and able to learn quickly.
- Sound knowledge of Child Care Subsidy practices and processes (preferable).
- Current Working with Children Check or willingness to obtain prior to employment commencement an your own expense.
- Current First Aid and CPR advantageous but not
- Ability to analyse and revise operating practices to improve efficiency.
- Exceptional communication skills.
- Detail-orientated and comfortable working in a fast-paced office environment.
- Proficiency in MS Office with expertise in Microsoft Word and Excel (essential).
- Superior organisation skills and dedication to completing tasks in a timely manner.
- Flexibility with work hour requirement.
- Knowledge on the NQF and Childcare Regulations (not essential)
