Accounts and Administration Assistant
As an Accounts and Administration Assistant, your role will be based on reception offering and providing assistance to ensure a seamless client experience in a warm and friendly manner. Strong interpersonal skills, attention to detail, and confidence in our services are essential in supporting the Network. The role is full time, Monday to Friday, 8.30am-4.45pm.
This is a critical role in ensuring the smooth and efficient operation of the office. We are looking for a team member who has a can-do attitude, a willingness to learn new skills and an ability to jump in and help when needed. Would suit an accounts graduate with admin experience, somebody returning to work with these abilities or a person looking to return to a previous set of skills.
The successful candidate will be encouraged to get involved in other areas of the business and support other team members when they are on leave. In return a great team environment, oodles of support and a clear career pathway will be provided to the right candidate.
Daily Responsibilities:
- Handle all phone calls and passing email messages as required
- Greeting customers at reception whilst creating a calm and friendly client experience.
- Manage stock control (stationary, uniforms, kitchen supplies), including reconciling, ordering, and updating as per the Networks processes.
- Perform opening and closing procedures for reception.
- Coordination of courses, calendars and Administration for training.
- Assisting in the co-ordination of driver and client record management (data entry).
- Manual docket entry, including reconciliations.
- Managing weekly driver pay-ins ensuring accuracy is your key priority.
- Assisting with portal requests for passengers and coordinators.
- Preparation of invoices for drivers and clients for payment.
- Accounts payable and receivable support
- Bank reconciliations
- Payroll processing
- Chasing customers for outstanding payments
- Prepare payment files in Excel
- Assist with month-end activities and reconciliations, BAS, Profit and Loss and Balance Sheet reworks and related reconciliations
- Administration allrounder to cover leave of other administrators across the business as and when required.
Our ideal candidate:
A minimum of 18 months experience in a similar role would be ideal. The position will require you to:
- Tertiary education in finance related field required, either completed or in final year
- Maintain a professional image and demonstrate a passion for personal development and growth.
- High level of accuracy and attention to detail.
- Deliver exceptional customer service, exhibit problem-solving abilities, and thrive in a collaborative work environment.
- Friendly and positive “can-do” attitude.
- Experience with multiple software programs, systems and databases
- Ability to follow process and assist in procedure management
- Relative administration experience
- Excellent time management skills and the ability to multi-task
- Ability to get back on track with a task quickly after answering calls or front desk queries.
- Computer literate to intermediate level including (MS office suite, accounts software & internet).
- Demonstrated ability to take initiative in problem solving and in exercising judgement.
- Self-directed attitude and the willingness to learn and grow your skills across the finance and accounts sector.
