Accounts and Administration Officer

The Embassy of Ireland, Canberra, is seeking a highly motivated, enthusiastic and hardworking person with excellent communication and interpersonal skills to fill a full-time Accounts and Administration Officerposition on an initial one year contract.
The successful applicant will work alongside other local employees of the Embassy, and will report directly to the diplomatic staff in the Mission.

Roles and Responsibilities:
The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:
- Ensure all Embassy accounts are accurate and correctly documented, and ensure all invoices are paid in a timely fashion;
- Enter all accounts into the Departmental accounting system and submit all accounts for approval;
- Liaise with HQ in Ireland on all accounts queries and balance end of month accounts;
- Maintain payroll and superannuation obligations of Locally Engaged Staff;
- Ensure GST refunds are applied for quarterly;
- Front of office duties including dealing with visitors to the Embassy, phone and email enquiries;
- Responsibility for day-to-day administrative tasks including contract and resource management;
- Providing administrative support to the Mission, including to Diplomatic staff;
- Providing support to consular team as needed;
- Assisting with the organisation of events, which can range from large-scale meetings, to in-house lunches or high-level visits and meeting with partners;
- Management of individual projects, such as procurement etc.;
- Acting as on-call out of hours duty officer on a rotational basis (Fri-Mon, approx. 8 times per year);
In addition to the above, the Accounts and Administration Clerk may be required to carry out other functions subject to the business needs of the Embassy.
Essential Requirements candidates must be able to demonstrate:
- Fluency in English
- Experience in customer service (a minimum of one year’s experience required)
- Strong attention to detail, organisational and communication skills.
- Flexibility and ability to work within a team and autonomously
- Experience in an administration role (a minimum of one year’s’ experience preferred)
- Demonstrated working knowledge of Microsoft Office Suite (Outlook, Word, Excel) required – experience with accounting software is desirable

Desirable Skills and Experience:
- A good understanding of the role of the Department of Foreign Affairs and the Embassy of Ireland;
- An understanding of Irish culture and willingness learn more about Ireland;
- Previous experience in a diplomatic mission.
The successful applicant will work alongside other local employees of the Embassy, and will report directly to the diplomatic staff in the Mission. Previous experience in a diplomatic mission is desirable, but not essential.
Terms and conditions of employment:
- The successful candidates will be hired on a fixed-term contractual basis and will be based at the Embassy of Ireland in Canberra.
- A working week of Monday to Friday totalling 35 hours, with standard office hours from 9am to 5pm.
- Duty Officer is in addition to this and is compensated through time off in lieu.
- Annual Leave entitlement 22 days per annum.
- The salary for the position is AU$60,347.69 plus Superannuation.
- Salaries are paid direct to a bank account.
