You will be expected to work with internal and external stakeholders to provide the secretariat function for the two boards and provide administrative support to the Director, Assistant Director and wider team. Your duties will include but are not limited to:
Using initiative to perform secretariat functions, including arranging meeting invitations, booking meeting rooms and arranging video links, developing agendas and forwarding calendars and meeting papers as required, managing the board inboxes and following up on actions arising and submission of papers from other areas.
Providing clear direction to stakeholders on board governance arrangements.
Applying knowledge and gaining experience in secretariat functions and governance frameworks.
Assist in the development of the secretariat and governance efficiencies to ensure effective management of the boards and section tasks.
Perform a range of administrative and governance tasks ranging from business as usual to complex procedural, operational and business support.
Assisting in the establishment of divisional frameworks in line with the existing department framework, including preparing advice on the correct approach and preparing papers seeking approval from the relevant board.
Provide support and assistance to the team and division on procurement, contract management, research and communication where possible.
Providing assistance to the Director to achieve section and branch objectives.
What you'll need to succeed
To be successful in this position, you will have previous experience in a similar position and the Federal Government. You will also have good communication skills both written and verbal, an understanding of or the ability to learn governance processes, strong time management and prioritisation skills and the ability to adapt to different operation environments.
