As the Training Administration Officer at Agsafe, you hold a pivotal position in ensuring the seamless administration of training programs for AgChem retailers and supply chain stakeholders. Your core duty revolves around proficiently managing various administrative tasks related to these programs, such as coordinating enrolments, processing invoices, maintaining meticulous training records, and facilitating effective communication with members. Leveraging your extensive administrative expertise, you'll actively contribute to Agsafe's overarching mission of championing safety and compliance within the industry.
Key responsibilities- Promptly generate and issue accurate invoices for scheduled training sessions, adhering to pricing models, and ensure meticulous verification of invoice details for external clients.
- Handle payments in line with financial policies and maintain pristine invoicing documentation in compliance with record-keeping standards.
- Collaborate with external stakeholders to deliver a diverse range of training options, including face-to-face courses, webinars, and in-house sessions.
- Work closely with our internal team to maintain transparency in the training schedule, ensure timely session scheduling, and keep training resources, communication templates, and processes up to date to meet industry standards and regulations.
- Manage venue logistics for training events, encompassing catering and audiovisual requirements, and efficiently reconcile invoices in our CRM system and issue training certificates.
- Forge effective communication channels with members to facilitate their active participation in training programs, tailor training programs to suit specific member needs, considering geographical constraints, and cultivate robust relationships with members to foster their ongoing commitment to training initiatives.
- Oversee the upkeep of a centralised database housing member training records.
- Guarantee the accuracy of information concerning member participation and generate insightful monthly reports for internal analysis and stakeholder needs.
- Act as the primary point of contact for member inquiries regarding training, delivering timely and precise information.
- Keep members informed about training schedules and any changes that may arise.
- Garner feedback from members to enhance the quality of our training programs.
- Stay abreast of industry regulations and standards pertaining to AgChem handling and assist participants in grasping the Agsafe training framework and meeting compliance requirements.
- Proven experience in coordinating training programs.
- Strong communication and interpersonal skills.
- Excellent organisational skills, encompassing database management and reporting.
- Familiarity with various training delivery modes and digital platforms.
- A diploma or degree in a relevant field (e.g., Agriculture, Environmental Science, Business), is preferred but not essential.
