FUNCTION: Contributing to the effective and professional operations of West Coast Wilderness Railway by ensuring the efficient, accurate and timely operation of the WCWR finance functions, including payroll.
Providing support to the managers of WCWR in relation to financial and administrative functions, ensuring all financial matters are conducted with accuracy, professionalism, and confidentiality to improve profitability, effectiveness and ensuring all legal obligations are met.
PRIMARY DUTIES & TASKS:
The Accounts/Payroll Officer is responsible for accurately processing the payroll in a timely manner by:
- Responsibility for administering effective and accurate processing of fortnightly payroll in accordance with organisational policies and procedures
- Identify and resolve payroll issues, escalating any significant issues in a timely manner
- Ensure monthly Superannuation commitments are paid within required time frames
- Prepare regular monthly payroll reports
- Banking reconciliation
- Maintain Employee payroll records including onboarding new employees in relevant program
- Working closely with the GM and Commercial Manager across all areas of West Coast Wilderness Railway.
- Manage the day-to-day operations of the accounting department, including accounts payable, accounts receivable, payroll, and general ledger functions
- Working cohesively with all members of the Management, Administration and wider WCWR team through effective communication both written and verbal.
- Working within the identified delegations documented in the WCWR policies and procedures
- Maintaining the highest level of confidentiality for all company and employee information
- Always representing WCWR in a positive manner across all interactions with external stakeholders
- Using Xero
- Providing financial forecast reports for GM
- CPI increases / Action Forms
- Understanding and knowledge of WCWR EA, common law
- Keep up to date with Fair Work, new ‘standards’
Accounts Payable/Receivable
The Accounts/Payroll Officer is responsible for ensuring all invoices are paid in a timely and efficient manner by:
- Following WCWR Accounts payable processes and procedures manage the AP & AR functions.
- Reconciliation of cash and EFTPOS sales including daily bank reconciliations
- Timely provision of end-of-month invoices including reconciliation of customer accounts
- Maintenance of creditor accounts in accordance with WCWR credit terms including follow up of overdue accounts
- Provide accurate record keeping including document management and archiving ensuring required WCWR processes are followed
- Ensure accurate allocation of costs in general ledger accounts
- Completion of mid-month and end-of-month supplier payment batches
- Reconciliation of supplier statements
- Ensuring monthly BAS is paid within ATO required timeframes
- Liaison with the external accountant including the provision of end-of-month documents for BAS preparation
- Manage the annual external audit process, liaising with external auditors and coordinating audit activities to ensure timely completion and compliance with audit standards.
Reporting
- End of Month
- Liaise with WCWR accountant, providing all necessary information in an efficient and timely manner
- Stock take, daily stats
- Advising General Manager as requested on financial matters
Accounting
- Lead the End-of-Month (EOM) process, ensuring accuracy and timeliness of report completion
- Complete relevant journal entries, reconciliations, and other financial transactions to ensure accuracy and completeness of financial records
- Uphold the integrity of the General Ledgers.
- Establish and manage budgeting, forecasting, and financial planning processes to drive performance and growth
- Analyse financial data to provide insights and recommendations to optimise business performance through variance analysis of actuals against budgets and forecasts
- Proactively identify and address potential financial issues or underperformance.
- Manage cashflows, working capital balances and revenue forecasts
Other
- Attending all appropriate training as required.
- Performing other reasonable duties and tasks as directed relating to finance
- Performing other duties that may be required as the position evolves.
DIRECTION/SUPERVISION RECEIVED:
The Commercial Manager will provide direction and supervision for your position, together with external accounting firm and GM, payroll support is provided.KEY RELATIONSHIPS

REQUIREMENTS:
Essential:
- Cert IV in business administration or similar together with significant experience
- Demonstrated experience in accounting, bookkeeping, payroll
- Experience with Xero or the ability to quickly gain it through experience with other accounting software
- Proficiency in financial software and high-level Microsoft Excel with the ability to quickly adapt to other required programs such as Deputy
- Strong problem-solving and analytical skills
- Excellent communication and interpersonal abilities
- Strong organisational and management skills coupled with excellent time management
Desirable:
- Degree or above in accounting or related field, have or be working towards CPA or CA
