The Role:
As an Accounts and Contracts administrator, within our architecture firm, you will play a crucial role in ensuring the smooth financial operations of the company. Your responsibilities will primarily revolve around providing support to the Studio Manager and accounting department and maintaining accurate project related financial records. You will collaborate closely with architects, senior leadership, and clients.
Key Responsibilities:
- Financial Record Keeping: Maintain accurate and up-to-date financial records specific to architectural projects, including fee structures, invoices, receipts, and expense reports.
- Billing and Invoicing: Assist in preparing client invoices, ensuring accuracy and timeliness. Coordinate with senior leadership to gather necessary information for billing purposes.
- Accounts Payable and Receivable: Assist accounts team to ensure timely payments and collections.
- Expense Management: Monitor project-related expenses, track spending against budgets. Provide support in expense report processing and reimbursement.
- Budget Monitoring: Assist in monitoring project budgets and financial performance.
- Financial Reporting: Generate financial reports and analysis specific to architectural projects, such as project profitability reports, budget vs. actuals, and client billing summaries.
- Vendor Management: Coordinate with vendors and suppliers, process purchase orders, and ensure timely payments. Maintain vendor records and facilitate communication regarding billing and payment inquiries.
- Software Proficiency: Utilize accounting software and tools tailored to the architectural industry, such as project accounting software.
- Team Collaboration: Work closely with architects, senior leadership, accounts team and clients to address financial inquiries, provide support, and facilitate smooth project operations.
Qualifications:
- Previous experience in accounting or finance roles, preferably within the architecture or construction industry.
- Strong attention to detail and accuracy in financial record-keeping.
- Excellent organizational and time management skills.
- Ability to communicate effectively and collaborate with cross-functional teams.
- Familiarity with architectural project management processes and terminology is a plus.
