The Position
We are seeking am Executive Assistant to join our team in a dynamic and fast paced environment. This is a permanent part time position (3-4 days a week) Ideally would suit someone with a young family, school hours (9am -3pm). Your main responsibilities will be the following: (including but not limited to:)
- Establishing strong relationships with internal and external stakeholders
- Manage calendars, emails and correspondence with professionalism and discretion.
- Coordinate and schedule meetings.
- Manage on-boarding process prior to personnel site attendance, including contractor and worker inductions.
- Recruitment administration support including booking interviews, reference checks, and other related HR information.
- Assists in the review and development of documentation, policies and procedures to align with company templates and standards.
- Assist with marketing campaigns.
- Follow up on customer service issues and incidents and update systems as required.
- Assist with managing suppliers and contractors and rating performances.
- Prepare and edit correspondence, presentations, and reports for internal and external distribution, maintaining a high standard of accuracy and professionalism.
- Assist with organising and coordinating social functions
- Assemble Management meeting reports and take minutes of meetings
- Conduct research and gather information on various topics to support decision-making processes and strategic initiatives
- Manage confidential information with the utmost discretion and integrity, maintaining a high level of confidentiality at all times
- Collaborate closely with other members of the executive team and department heads to facilitate cross-functional communication and alignment of strategic goals
- Handle ad hoc administrative tasks and projects as assigned, demonstrating flexibility and willingness to adapt to evolving priorities
Requirements for the Role:
- A minimum of five years proven experience in an executive support role
- Exceptional organisational and time management skills, with the ability to prioritise tasks effectively and meet tight deadlines
- HR and OHS experience highly desirable
- Effective verbal and written communication skills with a professional rapport building approach
- Highly proficient in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Adobe suite and other relevant software applications
- Ability to maintain confidentiality and handle sensitive information with absolute discretion
- Strong attention to detail and accuracy with a commitment to delivering high-quality outcomes
- Resourcefulness and initiative with the ability to anticipate needs and proactively address challenges as they arise
- Adaptability and resilience with a positive attitude and the ability to thrive in a fast-paced dynamic working environment
