Some of the skills that you may bring to this team include:
- Demonstrated experience providing quality customer service that is tailored to meet the needs of specific customers – this could come from a range of backgrounds such as retail, hospitality, administration, service
- The capacity to develop product knowledge to enable you to positively advocate for products and services.
- High level of attention to detail and proven experience implementing systems and procedures in making your workload and office environment more efficient
- Excellent communication skills with the ability to build rapport over the phone with well-versed communication skills both written and verbal
- Excellent knowledge/experience with MS Excel, MS Word, MS Outlook, and web-based software applications. Experience in CRM systems would be advantageous.
- Ability to manage time effectively, set priorities, plan and organise workloads, and achieve specified outcomes within a limited timeframe
- Demonstrated ability to be flexible, learn new processes, and adapt to a busy and changing work environment
Whilst it isn’t essential, experience or interest in sales, logistics, service and/or freight could help you hit the ground running in this role.
This is an ‘all rounder’ administration role supporting the sales/marketing, logistics and service teams, as well as providing administration support to the Leadership team.
Don't feel you need to have all of these skills and experiences to be successful in this team – all the support, knowledge and training you need to excel in this role is provided.
Tasks & responsibilities include:
- Confidently handling customer enquiries, ensuring phone calls are answered promptly and with urgency in a professional, courteous, friendly manner
- Prioritising and responding to incoming enquiries to determine urgency and level of response required and recommending appropriate products & services as required
- Supporting the sales and logistics teams by managing customer expectations through the ordering and invoicing processes, ensuring machine build specifications reflect the customer’s order, and products are delivered with the correct features and within the expected/agreed timeframes
- Maintaining and updating client databases and files, ensuring customer data is up to date and customers are onboarded correctly
- Performing post-sale customer follow-ups to confirm smooth operation, offer support as needed, and ensure correct customer onboarding
- Supporting the consumables logistics administrator, including processing customer orders and preparing orders for despatch.
- Providing administrative support to the leadership team, and assist with general office administration duties, including but not limited to; printing, photocopying, mail distributions, document formatting, ordering/re-stocking kitchen/office supplies
