The Administration Assistant will work closely with the Operations Teams to assist with daily admin tasks, client management, job paper work, payroll and accounts. You will be responsible for data entry, answering enquiries and administrative related tasks. This allrounder role is in a fast-paced, reactive environment, and requires someone who is calm under pressure, has a high level of attention to detail and who has the ability to multi-task.
Duties
- Complete daily operational administration tasks
- Client Complaints / Job Issues Reported From Field
- Communicate, record and escalate all complaints and job issues to make sure we can be proactive in our solutions
- Ensure Worksite Diary information is checked against Job information and make appropriate changes if required
- Urgently chase missing job packs
- Check that the Daily Worksite Diaries have been completed correctly
- Verification of client invoices
- Responding to client queries and maintaining strong relationships
- Dispute resolution
- Process Accounts Payable invoices in a timely manner for payments
- Liaising with internal and external stakeholders
- Investigating payroll queries
- Reviewing and processing weekly timesheets for each pay run
Skills & Experience
- Experience in a fast paced administrative role
- A strong motivation to encourage and communicate safe work practices
- Sound administrative skills and computer literacy
- Excellent communication skills (both verbal and written) with a customer service focus
- Self-motivated with the ability to be proactive and solutions driven with tasks
- Ability to multi-task and juggle multiple priorities
- Experience in traffic management or a similar industry is highly regarded
