We are an allied health practice of dedicated occupational therapists, speech pathologists and physiotherapists, with a focus on offering a flexible and responsive mobile community service to NDIS participants. Due to ongoing growth, we now seek to appoint an Administration Assistant dedicated to our Darwin and surrounds service delivery to be responsible for participant and stakeholder engagement and our office administration function.

Our Administration Assistant is the first point of contact for our participants, support coordinators and external stakeholders; and has administration responsibilities to support both service and team management. 

Working from our Darwin office, you will:

  • Be the first point of contact and provide general reception duties; and follow-up/respond with face to face, telephone and email requests for information.
  • Manage referrals and appointment bookings.
  • Create new participant files, entering information into our client management system (PracSuite); and draft and issue service agreements.
  • Managing/ordering of general office supplies.
  • Positively represent our organization and the services we provide in a professional manner when engaging with all stakeholders.
  • Undertake duties within the scope and capabilities of the role to support the Client Liaison and Administration Officer.

This is a full-time office-based role, working Monday to Friday

The Administration Assistant will primarily focus on providing supports to our Darwin participants and clinicians. You will work alongside the already operational Client Liaison and Administration Officer in our Brisbane head office. 

About You

As a key member of our team that supports our business, clinicians, and is responsible for engaging with our participants, clients, and stakeholders, we consider it essential that you have:

  • Administration experience, working within a multi-disciplinary team. 
  • Exceptionally high standard of written and verbal communication skills - you must have a professional, polite, and a strong focus of problem solving.
  • Strong attention to detail, organisation skills and the ability to work with limited supervision – you need to be proactive; and as you grow into the role be self-directing on a day-to-day basis
  • High level computer and other technology literacy, including in the use of Microsoft Office products, and client management, financial and HR systems, with an ability to learn new systems, be able to trouble-shoot IT issues (with our IT service provider) and manage IT inventory
  • Can multi-task and manage competing priorities, sometimes at short notice and for unplanned issues
  • Must be solutions and outcomes focused, with a mature can-do approach and attitude.
  • Must be of a people centric nature with the ability to build rapport with all demographics and diverse backgrounds.

You must: 

  • be vaccinated against COVID-19
  • have an NDIS Worker Screening clearance, or the ability to obtain; and
  • have the right to work in Australia
  • Ochre Card or ability to obtain 
  • Have a valid Australian drivers license

Desirable

  • Understanding of the National Disability Insurance Scheme (NDIS)
