Headspace is the National Youth Mental Health Foundation providing early intervention mental health services to young people aged 12 to 25. The service is designed to make it as easy as possible for a young person and their family to get the help they need for problems affecting their wellbeing.
About the role:
The Administration Coordinator will work closely with the Centre Manager to ensure that the daily administration function of the headspace Centre/s run efficiently and effectively to provide a quality service to young people and their support networks, and to the community. As an employee of WMQ, you will be required to work across multiple community co-location sites and multiple customer groups as business needs require.
Main responsibilities will include:
- Coordinating the daily administrative functions of the headspace centres to ensure they run efficiently and effectively and provides a quality service to young people and their support networks.
- Contributing as a member of the headspace Senior Leadership Team: and oversee the WH&S requirements of the Centres.
- Undertaking administration duties including:
- Reviewing and updating practice manuals, stock control and ordering, maintenance scheduling and prioritise actions as required.
- Providing administrative support as required to assist with client appointment bookings and day-to-day operations (telephone calls, liaison with external services) and
- Collaborating with Community Development Officer to keep social media accounts up to date.
- Taking responsibility for the MBS billing requirements of the Allied Health and General Practitioners of the service and maintain GP rooms and consumable stock as required.
- Ensuring administrative components of the Centre/s maintain compliance with the headspace Model Integrity Framework, WMQ Practice Framework, and National MHS, supporting auditing and accreditation processes.
About you:
- Possession of a diploma or appropriate certificate in a relevant discipline and/or substantial experience in a similar role in health care management, general practice or health sectors.
- Excellent working knowledge and familiarity with Microsoft Office 365 applications and medical records systems such as MMEX or Best Practice.
- Detailed knowledge of structures and processes of MBS (Medicare Billing Scheme).
- Highly developed communication skills, including written & verbal communication, customer service skills and good telephone manner, and the ability to engage with young people, private providers, staff, and stakeholders.
- Excellent analytical skills in problem solving, decision-making and developing systems.
- Excellent time management and organisational skills and ability to meet deadlines.
- Current Working with Children Check suitability ‘Blue’ card or have the ability to obtain one.
- Current Driver’s Licence and willingness to drive in the course of work.
