Purpose of Position
The Administration Coordinator will work under the direction of the directors, primarily and engineering managers, to assist with the daily running of the engineering office and compliance office. This role will actively participate in communication between the directors, engineering managers and onsite engineers to achieve optimum quality, and performance.
Key Duties & ResponsibilitiesOperations
- Managing personnel employment, developing ads, short listing candidates, conducting initial interviews recommending and coordinating interviews, cold calling prospective candidates.
- Primary contact for customer “contractor management systems” monthly maintenance & reporting functions.
- Liaise with clients regarding Health and Safety Compliance and Contractor Management Systems.
- Support the engineering team with maintenance of project calendars and workflow at a macro level (3-6 month view).
- Maintain inward goods and dispatch registers for goods supply.
- Arrange for dispatch of goods and items to customers and / or suppliers as required in a timely manner.
- Record and communicate meeting minutes.
- Maintain and communicate action registers.
- Arrange travel (car and flights) and accommodation for site engineers to ensure a cost-effective solution.
- Asset tracking of equipment and test equipment and compliance.
Document Control
In coordination with Directors, managers and communications manager:
- Manage the entirety of the Integrated Management System to ensure it is current and always up to date, including all associated document registers, and documented records.
- Point of Contact in relation to compliance with the Integrated Management System (by auditors, Managers etc)
- Manage the document cycle for the Integrated Management System – New, Updated, Reviewed etc.
- Communicate any changes to the Integrated Management System as they occur to all relevant personnel.
- Review language and syntax of outgoing documents to ensure consistency and compliance.
Generic Administration
- Reception and Redirection of Calls.
- Assist with purchasing office supplies, equipment, and furniture.
- Assist with the maintenance of office facilities, and equipment.
- Manage the cleaning contractors to ensure the cleanliness of the office and facilities.
- Adhere to and work in alignment with EEHAA’s policies and procedures (Integrated Management System).
