ABOUT THE ROLE (Full-time option after 6 MONTHS Contract)We're in search of an accomplished and proficient Administration Office Assistant to become part of our vibrant team. This position plays a vital role in maintaining the seamless function of our office, assisting our management, and enhancing the efficiency of our services, with a key focus on delivering outstanding customer service and experience.
TASKS AND RESPONSIBILITIESThe tasks and responsibilities of an Administration and Office Assistant for GAVAL, an NDIS (National Disability Insurance Scheme) service provider, are varied and pivotal for the smooth operation of services.
They include:
Client Support and Communication:
- Serving as the first point of contact for clients, answering queries, and providing information about NDIS services.
- Scheduling appointments and managing client databases.
Documentation and Record Keeping:
- Preparing, organizing, and maintaining client files and records in compliance with NDIS standards.
- Processing service agreements, plans, and reports.
Billing and Claims Management:
- Handling invoicing, processing payments, and managing claims with the NDIS portal.
- Ensuring accurate billing information and following up on outstanding payments.
Support to Management and Staff:
- Assisting with the preparation of reports, presentations, and meeting materials.
- Providing administrative support to management and team members, such as scheduling meetings and managing calendars.
Compliance and Quality Control:
- Ensuring all activities comply with NDIS guidelines and standards.
- Assisting in the implementation of quality control measures.
Liaison and Networking:
- Building and maintaining relationships with clients, their families, and other stakeholders.
- Liaising with external providers, government agencies, and community organizations.
General Administrative Duties:
- Managing office supplies, equipment, and facilities to ensure a well-organized work environment.
- Undertaking general administrative tasks such as filing, photocopying, and answering phones.
Continuous Improvement:
- Contributing to the continuous improvement of administrative processes and client services.
- Participating in training and professional development activities related to NDIS service provision.
This role requires a combination of administrative skills, knowledge of the NDIS framework, empathy, and excellent communication abilities to effectively support clients with disabilities and contribute to their positive service experience.
IDEAL CANDIDATE- Minimum of 3 years of experience in an administrative support role.
- Exceptional organisational and time-management skills.
- Above average computer skills and Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication skills, both written and verbal.
- Demonstrated ability to work independently and as part of a team.
- Knowledge of NDIS practices and regulations is highly advantageous.
- Must be solution focused and great at problem solving
- Be personable, proactive, be comfortable working in fast paced environment.
