Melbourne Girls Grammar is seeking a motivated and highly organised Administration Officer to join the MGGS community on a full-time basis. The successful candidate will provide administrative support to the Marketing and Community Engagement team and support the functions under the direction of the Executive Director Marketing and Community Engagement. This covers key functional areas for the School including Communications, Enrolments, Events, Fundraising and Community Engagement.
This role would suit a mid or early career administrator with a positive can-do attitude and energy, and the ability to listen, organise, and respond in a timely manner. Your initiative, proactive approach, exceptional client service and communication skills will assist in engaging with internal and external stakeholders effectively and professionally. As part of the Marketing and Community Engagement team, you will work in a light filled open plan office within a professional, highly motivated and supportive team passionate about promoting and advancing Melbourne Girls Grammar as a preeminent school in Australia and globally.
The key deliverables of this role include:
Managing incoming jobs including scope of works and progression to ensure timely and responsive service delivery.
Developing job schedules and task lists outlining resource allocations and timelines.
Setting up and documenting team meetings to ensure planning and collaboration is effective for projects and cross functional tasks.
Arrange quotations, travel arrangements and end of process invoices and approvals in a timely manner.
Assist on the School reception as required ensuring effective and quality customer experiences as the first point of contact.
Support the M&CE team as required at events including Open Days, Information evenings, donor events, celebrations and community gatherings as required.
