Brain Train is looking for a like-minded and compassionate Administration Professional to join our Client Concierge Team at our Port Melbourne Centre in Victoria!

Brain Train is a rapidly growing, family-centred and values-focused Allied Health Organisation, supporting children and adults with autism and other neurological and neurodevelopmental differences.

We currently provide services in Brisbane, Sydney, Melbourne, and the Gold Coast to over 500 beautiful families. With a team of values-focused professionals, our holistic therapies across Allied Health include Brain Train’s own Sensorimotor Therapy, Occupational Therapy, Speech Therapy, and Exercise Physiology, with a focus on providing the most effective and impactful Early Childhood Interventions.

As a Client Concierge, you will:

  • Make a genuine difference to our neurodiverse, autistic, and wider disability communities across the country through exceptionally caring face-to-face and on the phone customer service and administrative support.
  • Work collaboratively across teams who embrace a neurodiversity-affirming approach, where diversity, inclusion and acceptance are prioritised.
  • Have opportunities to be involved in customer service-related quality improvement initiatives and projects in conjunction with your Client Concierge Team Leader and Allied Health Centre Manager.

The Opportunity

An opportunity has just come up for a passionate, caring, and values-focused Administration Professional to join our Client Concierge Team at our lovely Port Melbourne location!

You will provide unmatched support for our beautiful families, while our therapy teams provide evidence-based, best practice support for our neurodiverse and autistic children, through a play-based, family-centred therapeutic approach.

Key Activities & Responsibilities

  • Providing values-aligned, consistent, and supportive face-to-face and on the phone support for clients and their families including scheduling and appointments support, and response to minor billing enquiries as per various policies and guidelines of the Company. 
  • Maintaining extensive knowledge of the organisation’s service offering and capacity offerings, in each location, and applying such knowledge in all enquiries and applicable client communications.
  • Guiding caregivers through the end-to-end onboarding & booking process for new therapies, including the setting up of payment facilities and maintaining accurate data and client records.
  • Working effectively and collaboratively with your Allied Health Centre Manager and the Client Concierge Team Leader, to structure, optimise and ongoingly support Therapist schedules in line with appropriate client loads and Business Development initiatives.
  • Providing and upholding prompt and exceptional customer service standards in all interactions with all stakeholders of the organisation, providing guidance to other team members in customer service best practice, where applicable.
  • Supporting caregivers through any NDIS or alternative funding related queries, where applicable or appropriate.  

Selection Criteria

  • Exceptional customer service skills with an ability to engage with energy and enthusiasm, and with an approach and demeanour aligned with the values of the Company.
  • Outstanding attention to detail with high-level written and verbal communication and literacy skills
  • Able to manage multiple priorities to the highest standards 
  • Appropriate computer skills relevant to the position
  • Demonstrated experience working with multiple systems with proficiency in Microsoft suite and Cliniko highly regarded
  • Team player, passionate, professional, empathetic
  • Working with Children and NDIS Workers Screening Checks
  • Ability to work autonomously and as part of a cohesive team
