Base Salary $83,384 -$93,362 (Pro rata 0.50 FTE) + 17% superannuation

We are seeking a committed administrative specialist to support Australia’s first Senior Research Fellow in Planetary Health, Aaron Jenkins. Please click here to view Aaron’s research profile. Aaron’s research intersects the areas of climate change, Public Health, conservation, and sustainability. His team is based in Australia and Fiji and his research spans several locations internationally. This is an exciting role that will support Aaron on the ground in Australia and liaise with his international team managing travel, diary schedule, administrative and account reconciliation needs.
Your key responsibilities will be to:
provide high level administrative coordination in relation to diary, events, travel, and accommodation management for the work area
liaise with stakeholders, internal and external in the scheduling of appointments, making travel arrangements and maximising the productive use of available time
manage general administrative services and operational support for the work area, ensuring high quality and efficient administrative support including prioritisation, dissemination, and preparation of non-routine correspondence
take the lead in handling stakeholder communications, ensuring that concerns are addressed effectively and timely while fostering a culture of trust and collaboration within the work area and beyond
coordinate purchasing processes and resolve any discrepancies in payment schedules
assist with HR matters such as onboarding and IT service issues as required by the team
About you
experience in providing administrative support to senior executive staff across multiple time zones
demonstrated computing skills in email (Outlook), the internet and Microsoft Office (including PowerPoint).
experience in managing invoice and payment reconciliation. Experience with purchasing/invoicing software such as Concur would be highly desirable
demonstrated ability to adapt to a changing and evolving workplace to meet the research area and University’s requirements
ability to establish and maintain excellent working relationships with a wide range of people, both internal and external to the University and with professional bodies
ability to work both independently and as part of a team, taking initiative and exercising judgement in resolving matters that may arise as part of normal daily work
excellent interpersonal, verbal, and written communication skills with sound negotiating and conflict resolution skills and a demonstrated level of empathy and discretion in dealing with complex matters.
