We are currently recruiting a Permanent, Part Time Administration Officerwithin our Training Services team. This role offers 15 hours per week over 2 days.
The role of Administration Officer has a primary focus of supervising all Administration needs for the Training Services team, ensuring the Training Services Coordinator and training staff are well supported and administrative functions are undertaken in an effective and timely manner.
You will do this by:
- Performing all administrative duties following our Administration and Delivery procedures according to relevant contractual, AVETMISS and ASQA requirements.
- Manage the enquiries and enrolment process for students, ensuring accurate and complete information.
- Maintain and update student records, ensuring compliance with AVETMISS requirements.
- Collaborate with the finance team to reconcile training-related financial transactions, this will include preparation of invoices, track payments, and maintain financial records.
- Ensure accurate training resources are readily available, maintaining stock levels and coordinating distribution.
- Assist in preparing reports and documentation for compliance audits conducted by ASQA.
- Coordinate room bookings, schedules, and logistical support for training sessions.
- Implement and maintain efficient administrative systems in accordance with organisational policies. Including filing and archiving of hard copy and electronic documents.
- Generate certificates, transcripts of results, and competency records for students completing training courses. Coordinate the timely issuance of certificates and relevant documentation.
- Participate in organisational evaluations and contribute to the completion of evaluation forms.
- Stay updated on industry trends and best practices in RTO administration.

- Proven extensive experience in a high-level administration role.
- Demonstrated understanding of administrative functions and office practices.
- Well-developed communication skills, including written, telephone, and customer service skills.
- Exceptional organisational skills, with the ability to prioritize work activities, manage time effectively, and adjust priorities as required.
- Highly developed computer skills with proficiency in Microsoft Office applications.
- Ability to work collaboratively as part of a team and autonomously when necessary.
- Previous experience working in a Registered Training Organisation (RTO) and experience with AVETMISS-compliant software is desirable
