Administration Officer Role: The Australian International Islamic College is seeking for an administration officer to contribute to the effective and efficient management of the school by providing administrative support to the Principal and delegates. The school administration officer maintains the school's administrative systems and procedures to ensure the efficiency and effectiveness of the school.
Key Responsibilities:
- Assist staff and students with general requests
- Answer and redirect all incoming calls and emails in a prompt and timely fashion
- Receive visitors presenting to Front Office, attend to their requests and refer them to the appropriate staff member
- Ensure visitors presenting to Front Office have signed in according to the College procedure
- Administrative support for Camps and Excursions
- Information distributed to College Parents/Students as required
- Provide support to other administrative areas within the College as directed Administration and Secretarial Support
- Provide administration and secretarial support for school Heads and teaching staff as requested
- Type letters, bulletins, questionnaires, reports, prospectus material and any other document as requested by Office Coordinator and Principal
- Print, photocopy, collate and distribute any of the above as directed by the Office Coordinator or Principal
- Check, attend to, sort, and maintain the colleges Admin Inbox in a timely fashion
- Keep record of office supplies and advise Office Manager for reorder if necessary
- Assist with the coordination of specific events such as photo day, sports days, immunisations as required
- Maintain tidiness of Front Office and reception area File and Data Management
- Systematically file official records, publications, instructions, correspondence, official forms, and student records. Retrieve filed items as required.
- Archive files as directed
- Administer first aid as required
- Coordinate the management of the sick bay
- Maintain First Aid and Sick Bay supplies
- Complete Accident/Injury forms Incoming and Outgoing Goods/Mail
- Assist with the intercampus collection
- Assist with the reception of incoming goods as required
1. Demonstrated experience in providing effective administrative support with the ability to organise and prioritise tasks effectively.
2. Demonstrated ability in using computers and a range of application software packages, particularly databases, spreadsheets, and word processing.
3. Demonstrated good verbal and written communication skills and experience in the application of customer service principles and practices.
4. Demonstrated good interpersonal skills and ability to work unsupervised and in a team environment.
Eligibility Requirements
· Certificate III in Business Administration
· Must have a Blue Card
· First Aid Trained
