The Role…
Administrative Assistant / Broker Support (Sydney CBD Office 3 days / WFH 2 days)
Your day-to-day activities will include the following:
- Providing general and administrative support to a team of insurance brokers, including with regard to internal reporting and client renewals.
- Client (and prospective client) engagement, including responding to queries, sending out invoices, policy documentation and information requests, and following up on outstanding premium amounts and outstanding information requests.
- Insurer engagement, including requesting, checking and following up policy documentation, endorsements and premium calculations, as well as liaising with insurers in respect of premium payment shortfalls and overpayments.
- Supporting the claims management function of the business, including notifying and submitting claims, gathering necessary documentation, communicating with clients and insurers and following up on claims status and payments.
- Invoicing and following up payment of premiums by clients.
- Debtor management and reporting.
- Information management, including filing and maintenance of the business’s CRM system, as well as maintenance of client files, information and contact details.
- Document preparation, including preparation of quotations, reports, certificates of currency, quotation letters and client / insurer correspondence.
- Assisting with internal compliance tasks and reporting.
- Organising and coordinating client and staff events and meetings, including team building and learning and development opportunities.
- Assisting with sales and marketing initiatives.

Our ideal applicant will have:
- Experience in a similar role (Administrative Assistant, executive assistant, business support or similar) within a financial services or professional services business.
- Great working knowledge of the Microsoft Office suite of products (Word, Excel, Outlook and PowerPoint).
- Excellent time management and organisational skills.
- A keen eye for detail.
- Whilst not essential, experience with or knowledge of social media applications for business will be viewed as a positive
