Mater is looking for a dynamic and experienced Administrative Support Officer to join the CEO Office team. This role is a permanent, full-time role based at Mater Newstead.
This role will work with the administration team to provide high-level, confidential support to the CEO Office.
Salary Range: $70,295 - $78,567 plus superannuation and access to not-for-profit salary packaging up to $15,900
What you’ll be doing
You will provide confidential Administrative Support to the CEO office team by exercising judgement, making appropriate decisions and resolving day-to-day operational issues. You will also:
- Work as part of a team to ensure the efficient operation of the Office of the CEO.
- Liaise with a wide range of staff, clients and external agencies on behalf of the Office of the CEO in a professional, timely and respectful manner.
- Act as intermediary between the Office of the CEO and internal and external stakeholders, effectively managing enquiries through intercepting, screening and redirecting as appropriate.
- Examine, prioritise and determine action of incoming correspondence to the CEO Office including email, written correspondence and reports.
- Research, collate and draft information into appropriate reporting formats as necessary for decision making purposes and presentation to various forums.
- Prepare high-quality written correspondence and reports for dissemination to staff and other key stakeholders through effective written communication and timely delivery on behalf of the Office of the CEO.
- Organise meetings, workshops, prepare agendas and follow up on actions from meetings.
- Provide Administrative Support including diary management, travel bookings, maintaining registers, credit card reconciliation and catering.
- Maintain an effective document management system for storing confidential documents, minutes and internal correspondence.
- Work as part of the wider Executive administration team to support the Mater Executive team.
- Ensure the effective management of the Executive floor.
- Represent the CEO Office Manager and provide backfill for the Executive administration team when required.
About you
You will have a demonstrated achievement in the delivery of high quality confidential administrative and secretarial support at a senior management / executive level. You will also have:
- Highly developed communication skills with the capacity to exercise successful consultative, interpersonal and negotiation skills.
- Highly developed written skills to effectively produce correspondence, reports and communications.
- Exceptional organisational skills with the ability to prioritise and perform tasks and functions to a high level.
- Demonstrated ability to work both autonomously and within a team environment.
- Advanced skills in a range of system applications to ensure the effective and efficient delivery of high-level secretarial and Administrative Support.
- Advanced Information Technology skills including the ability to effectively and efficiently use Microsoft Office applications.
