Seeking candidates from the APS as Executive Assistants with Secretariat experience to support the Chair of a Federal Government Department.
Our client is a highly regarded Federal Government Department. The Chair of the Department is looking for an Executive Assistant at the APS 6 or EL1 level to support him. The role is based in Melbourne.
This position is Full Time in the office. The client is requesting candidates to have APS or State Government experience.
The position can be Non Onongoing, s26 or Labour hire for 6 - 12 months with potential for extension.
Your duties will include:
- Provide complex administrative services, advice and support, and work closely with the Division's leadership team.
- Manage the offices, including complex diary management and scheduling of visit programs.
- Identify and resolve complex administrative issues that may impact the delivery of these services.
- Assist with managing workflow, including prioritising submissions and briefings, meetings, and correspondence.
- Assess competing priorities and propose recommendations.
- Liaise, build and sustain collaborative relationships across the division and manage internal and external agency stakeholders.
- Lead complex coordination activities to deliver outcomes to meet relevant deadlines.
- Use discretion and judgement to plan and manage the flow of work and visitors.
- Process relevant financial transactions and reporting including travel and hospitality using SAP.
- assisting with the organisation of the Agency's Advisory Board meetings
- coordinating the preparation of meetings papers and briefs, including preparing meeting packs, managing budgets and meeting reporting requirements
- taking meeting minutes and following up actions arising
- tracking correspondence and actions arising
- establish and maintain relationships through effective communication, collaboration, negotiation and issues management to engage members and work areas within the Agency
- supporting the FOI function in relation to any requests relevant to the board
- supporting the Agency's parliamentary function by assisting with the coordination of Senate Estimates briefing material and actioning Questions on Notice and Question Time Briefs
- coordinating responses to the Agency's general enquiries and drafting correspondence to stakeholders; and
- assisting with other ad-hoc secretariat tasks.
