About the Role
The Executive Assistant supports the Faculty Executive Director with diary management, correspondence, and travel arrangements. They also assist other Faculty Executive members and contribute to the professional services team, requiring high discretion, professionalism, and a proactive approach.

Your responsibilities will include:

  • Proactive diary management for the FED, including the coordination of appointments and meetings, room bookings and catering, demonstrating sound judgement on prioritisation. This will also involve the coordination and organisation of travel.
  • Provide exceptional administrative support to ensure the effective and orderly day-to-day running of the Office.
  • Liaise extensively and assist to build relationships, on behalf of the Office of the Dean with other parts of the University and with external bodies.
  • Maintain a sound knowledge of current University Policy and Procedures, and reliably follow these or provide compliant advice to others.

Who We Are Looking For
You will possess excellent interpersonal skills for liaising with individuals at all levels and strong organisational abilities to manage workflow and meet deadlines. Additionally, you will have effective communication skills, flexibility, and self-motivation.

You will also have:

  • Previous experience as an Executive and/or Administrative Assistant to a senior executive managing a range of secretariat support tasks including diary, contacts and email organisation, overseas travel, and events.
  • Demonstrated ability to prepare briefing notes, answer correspondence, prepare agendas and minutes with a high degree of accuracy.
  • Demonstrated ability to exercise judgement, discretion, confidentiality, and initiative at all times and to work autonomously.

This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University. In the case the selected candidate doesn't have a valid Working with Children Check, they will be able to apply for the WWCC as part of the initial onboarding procedures.
