Summary: We are seeking a dynamic and highly organised Executive Assistant to provide top-notch support to Euphemia's Founder & Executive Director, Dom Pym, and Group CEO, Judy Anderson-Firth. This role is crucial to ensuring the smooth operation of our executive team, facilitating effective communication, and managing administrative tasks with efficiency and discretion. By freeing up Dom and Judy to focus on their most strategic and impactful work, you will be directly contributing to Euphemia's mission to Make Awesome Make Awesome. In our fast-paced, startup-like environment, you will be the administrative, operational, and organisational champion that ensures our work flows effortlessly and feels stress-free.

Key Responsibilities:

  • Inbox Management: Monitor and manage email inboxes, ensuring timely and appropriate responses. You will be our inbox zero hero! 
  • Calendar Tetris: Coordinate and manage complex calendars, scheduling meetings and appointments with internal and external stakeholders.
  • Bookkeeping Activities: Handle payments processing, invoicing, and other basic bookkeeping tasks.
  • Group Administration: Support administrative needs across the venture, property, listed equities, and foundation portfolios, ensuring seamless coordination and communication.
  • Liaising with Key Service Providers: Act as the primary point of contact for key service providers, ensuring smooth interactions and service delivery.

Other Bits and Bobs:

  • Filing and Reporting: Maintain organised records and prepare regular reports as required. Your party trick is making snail mail disappear! 
  • Support Due Diligence Activities: Conduct desk research, gather data, and support due diligence processes in the venture portfolio.
  • Document Management and Creation: Prepare, edit, and manage documents and presentation/marketing materials, ensuring accuracy and completeness. Typos and grammar errors? Not on your watch!
  • Website Updates: Manage and update content on the Euphemia website as needed.
  • Travel Bookings: Arrange travel itineraries, including booking flights, accommodation, and transportation.
  • Event Planning and Management: Organise and manage Euphemia events from time to time.
  • Personal and Professional Support: Assist with both personal and professional matters as needed, recognising the integrated nature of family and business.

Requirements:

  • Trustworthy and Tactful: Mature, trustworthy, and able to handle sensitive information with tact and discretion.
  • High Quality Bar: Maintain a high standard of quality in all tasks, with exceptional attention to detail (visual, verbal, and written expressions of work).
  • Clear and Direct Communicator: Ability to communicate clearly and directly with all stakeholders.
  • Ruthless Prioritisation: Ability to prioritise tasks effectively, ensuring the most critical tasks are completed first.
  • Efficiency: Wildly efficient in managing time and resources to achieve maximum productivity.
  • Organised: When you look up the word organised in the dictionary, it’s a picture of you.
  • Location: Melbourne-based with the request to be at the office in person 1-3 days a week.
  • Flexibility: Ability to flex to work outside standard business hours for events and critical/time-sensitive work matters (within reasonable limits, not exceeding contracted hours).
  • Adaptability: Willingness to adapt and take on new responsibilities as Euphemia's strategy evolves.

Experience:

  • Calendar/Inbox Management: Proven experience in managing complex calendars and high-volume inboxes.
  • Finance/Accounts/Bookkeeping: Proficiency in financial tasks such as payments processing, invoicing, etc.
  • Project Management: Experience in managing projects, ensuring deadlines are met, and goals are achieved.
  • General/Operations Management: Broad experience in general and operations management, supporting various administrative functions.

Judy leads Euphemia’s ~$70m global investment portfolio including private & public equities, venture capital, and property portfolios, as well as the Euphemia Foundation to support people in need. 

Euphemia’s direct venture investment portfolio (private equities) includes over 55 companies globally, focused across four main areas: FinTech, ClimateTech, women-led startups, and startup infrastructure. 

She was previously the CEO of Startup Victoria (now The Startup Network), Australia’s largest network for entrepreneurs with over 70,000 community members. Judy is an angel investor and advocate for investing in women founders and funders across the Aussie startup ecosystem, and serves on several startup industry boards.
