Our client is seeking to engage an APS5/6Information Management Notice Case Officer.
Contract Length: 6 months with possibility of extension
Rate: APS5 -$48 - $55 hourly
APS6 - $58 - $65/hourly
Eligibility/Security Requirement: To be eligible applicants must have NV1 Clearance.
The Case Officer will be responsible for:
- Coordinate, conduct scoping meetings within the task force and external stakeholders for the Royal Commission issued notices.
- Use the IT tools available IAW IM SoPs to record and database all notice related documentations.
- Conduct research on personnel and policy by interrogating various Departments and Civilian applications.
- Coordinate returns from the stakeholders close to the notice due dates.
- Coordinate closely with General Counsel (GC) and Policy POC for the Notices and support effective closure of the notices.
- On receipt of closure confirmation from GC, archive all documents IAW the IM SoPs.
- Support the RCDVS-TF Command in meeting key capability objectives.
- Perform administrative record keeping and statistical tasks related to research.
- Advice commands the improvements to the business process that focuses on efficiency and effectiveness.
- Identify shortfalls and advise command of options and solutions for consideration
Communication Skills:
- Oral: High standard of persuasive oral skills to communicate effectively with a wide range of people including Service, APS and contracted personnel. Specifically, a high standard of oral communication is required when directing users on the use of Ringtail.
- Written: High level of written communication skills to articulate IT fault rectification requirements and seeking external system administrator support.
This role may involve exposure to material and situations that may be confronting or disturbing, and that may cause personal distress. The Taskforce has a range of wellbeing supports available to staff both during and after their time with the Taskforce.
Key Responsibilities:
- Create, organize, and maintain digital files in accordance with established filing systems.
- Monitor and manage group mailboxes to facilitate timely and organized communication.
- Work closely with colleagues to coordinate and prioritise tasks.
- Prepare regular reports on the status of digital filing activities, including current completeness of files.
Experience and skills:
- Proven experience in administrative roles with a focus on digital file management and mailbox coordination. Experience with Objective is not necessary but will be highly regarded.
- Exceptional organizational and time-management skills with a keen eye for detail.
- Familiarity with Microsoft Office programs.
- Strong written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.
- Ability to identify and resolve issues with limited supervision.
- Capacity to adapt to changing priorities and handle multiple tasks simultaneously.
