Your new role
As the Assistant Corporate Secretary in this 3-month temporary assignment, you will provide essential support to the General Counsel & Corporate Secretary, Managing Director, Executive Leadership Team, and the Chairs of the Board and each Board Committee. Your role is pivotal in coordinating and managing the preparation and timely delivery of all Board, Board Committee, and ELT meeting documents, ensuring a high level of accuracy and attention to detail. Key responsibilities include:- Coordinating the secretariat functions, ensuring effective communication between the Board, ELT, and the Managing Director's office.
- Acting as the main point of contact for business units in preparing Board, Board Committee, and ELT papers, maintaining statutory records, and overseeing governance registers.
- Drafting meeting agendas, minutes, and action lists for review and ensuring the timely follow-up on action items.
- Contributing to the governance framework, policy compliance, and the production of the annual report.
- Providing governance training and building a culture of high performance and respect across the organisation.
- The quality and timeliness of Board, Board Committee, and ELT documentation.
- The effectiveness of governance practices and compliance with legal and regulatory requirements.
- The satisfaction of internal clients with the performance of the Legal & Governance team.
What you'll need to succeed
The successful candidate will possess:- Advanced skills in delivering results, stakeholder and relationship management, communicating with influence, critical thinking, and decision-making, with intermediate abilities in change agility.
- Proven experience in a company/board secretariat role, demonstrating flexibility, exceptional communication skills, and a high level of organisational and time management capability.
- Proficiency with MS Suite and board management software like Diligent.
- A strong focus on continuous improvement, self-motivation, and the ability to work both independently and as part of a team.
