Our team
The role is located within a division that provides professional expertise, strategies, products and services across an extensive range of corporate functions, including: corporate strategy, human resources, financial services, information communication technology, digital science support, governance, audit and risk, security (physical, personnel and information), building and facilities management, communications, data policy and information management.
The key duties of the position include
The Assistant Project Manager plays an important role in the delivery of key business, corporate, enterprise, and ICT projects and programs, supporting the Manager(s) to ensure quality, cost effective and timely results. In this position you will also contribute to relevant medium to long-term strategies and frameworks and to enterprise-wide improvements in business processes and be innovative in responding to changing environments and business needs.
The role will support the delivery of a new project management capability to significantly improve the organisation's methodology and delivery of business and ICT programs, ensure that Executives can make timely decisions to support them and contribute to a high-quality customer service culture within the division.
The Assistant Project Manager will work in a team of project management professionals who will provide the knowledge, tools and practice to any division who needs assistance. They are responsible for directing specific requests through the appropriate channels, administrating the enterprise project management tool and providing secretariat capabilities for portfolio reporting and the proposed project management community of practice.
We are looking for a highly motivated individual who enjoys offering exceptional customer service and supporting a variety of significant projects with strong project management, administrative, organisational and stakeholder abilities.
In this role you will:
  • Play a supporting role in contributing to the overall strategic direction of the Corporate Division
  • Provide courteous, prompt and professional service to stakeholder enquiries through a range of channels and working towards timely resolution of issues.
  • Contribute to the establishment, development and administration of the Geoscience Australia capability lifecycle, and program/project assurance, governance frameworks and performance reporting.
  • Understand the work environment and contribute to the development of project management documentation and reporting as well as identifying broader influences that may impact on team and portfolio objectives.
  • Build and sustain positive relationships with team members, stakeholders and customers by proactively anticipating and responding to their needs to achieve work area and organisational goals.
  • Gather, analyse and report on lessons learned from a number of sources to inform project improvement opportunities.
  • Prepare routine and more complex communication material, including reports, emails, website, digital signs and presentations.
  • Work collaboratively and operate as an effective team member.
  • Confidently communicate in a clear, concise and articulate manner.
  • Consolidate reporting from multiple projects/programs and summarise complex information for an Executive audience for decision making purposes.
  • Provide support to multiple Project Managers internal and external to the team.

To be successful in the role you will:
  • Have the ability to develop and maintain a thorough knowledge of information resources and project management methodologies to provide accurate, effective and high-quality advice.
  • Understand and demonstrate experience in program and/or project management governance and delivery including development of project plans, schedules, scope and budgets
  • Manage the flow of information, seek clarification, and provide client focused advice and responses to ensure prompt resolution of issues.
  • Apply your experience and knowledge to maintain effective working relationships in a diverse environment, open channels of communication and contribute to a client-focused approach to service delivery.
  • Be pro-active, a problem solver, and delivery focused to achieve positive and mutually beneficial outcomes.
  • Be highly organised and driven with the ability to identify opportunities for innovation and improvement and lead improvement initiatives.
  • Take responsibility for managing work projects to achieve results, even in difficult circumstances, responding to pressure in a calm manner.
  • Value specialist expertise and capitalise on the knowledge and skills of others within the organisation and work collaboratively across the team/branch and division.
  • Demonstrate excellent communication skills with a willingness to share information and knowledge with the team, customers and the broader divisions within the organisation.
  • Demonstrate experience in analysing and communicating complex data.
  • Demonstrate commitment to skills development, health and safety, and wellbeing of other employees in your team.

Required skills, knowledge, experience and/or qualifications
  • Tertiary qualifications in a related field are highly desirable.
  • A qualification and/or relevant experience in project management is highly desirable.
  • Experience in Microsoft Project and\or Power BI is desirable.
