The Role
The newly created role of Bid Coordinator awaits a dynamic individual to join our growing Projects Department. The Bid Coordinator plays a key role in the process of preparing and submitting bids and proposals in response to requests for proposals (RFPs) or invitations to tender. The primary responsibility of a Tender Bid Coordinator is to manage and facilitate the bid process, ensuring that all elements are compiled, organised and submitted in accordance with the client's requirements.
As a Bid Coordinator, you will be responsible for coordinating the end-to-end bid process, from identifying opportunities to preparing and submitting proposals. You will collaborate with various internal and factory teams, ensuring that bid responses are comprehensive, well-organised, and submitted within specified deadlines.
Key Responsibilities include:
- Tender Identification - Monitor and identify potential tender opportunities through various channels, including online portals, government websites, and directly from engineering consultant firms. Evaluate tender invitation to determine the project requirements, timelines, evaluation criteria, the organisation's eligibility and capability to meet the requirements.
- Coordination and Planning - Collaborate with different departments, such as sales, finance, legal, and technical teams, to gather the required information for the tender submission. Develop and maintain a tender submission schedule, ensuring all deadlines are met. Conduct meetings with relevant stakeholders to discuss tender requirements and allocate responsibilities.
- Document Preparation - Compile and organise all necessary documentation, ensuring compliance with the tender specifications and requirements. Write, edit, and proofread tender proposals to ensure accuracy, clarity, and alignment with the organisation's objectives. Liaise with Product Business Unit and Marketing teams to create visually appealing and professional tender bid submissions.
- Compliance and Quality Assurance - Ensure that bid submissions comply with all specified requirements and guidelines. Conduct thorough quality checks to identify and correct errors or inconsistencies in bid documents.
- Deadline Management - Develop and maintain a detailed bid submission schedule, highlighting key milestones and deadlines. Coordinate with National Projects Manager and team members to ensure that all elements of the bid response are completed and submitted on time.
- Clarifications Interaction - Liaise with internal stakeholders for engagement with clients or procurement officers to seek clarifications on pre-bid requirements and post-bid submissions. Respond promptly to client inquiries and requests for additional information during the bid process.
- Risk Assessment - Identify potential risks and challenges associated with bid submissions and work with relevant stakeholders to address and resolve any issues that may impact the bid process.
- Record Keeping - Maintain accurate and up-to-date records of all bid-related documents, communications, and activities. Archive completed bids for future reference and analysis.
- Post-Submission Activities - Coordinate internal stakeholders for debriefing sessions to gather feedback and insights on unsuccessful tenders. Maintain a database of tender submissions and outcomes for future reference.
About You
Essential:
- Tertiary qualifications in Business Administration, Electrical Engineering or similar.
- 3 Years proven experience in bid coordination or a similar role.
- Standard Driver's License.
- Strong project management and organisational skills.
- Excellent written and verbal communication skills.
- Knowledge of procurement processes and regulations.
- Familiarity with legal and contractual aspects of bidding.
- Ability to work collaboratively in a cross-functional team environment.
- Proficiency in Microsoft Office Suite and familiarity with tender management software.
Desirable:
- Knowledge of relevant IEC and AS electrical standards.
- Experience with Medium Voltage VSDs and Transformers.
- Experience with SAP business systems.
- A commercial background and previous experience in engineering and technical support services relating to WEG products and manufacturing facilities.
