We now have an exciting opportunity for a highly organised and experienced Board Administrator & Executive Assistant to join the Catholic Healthcare (CHL) Company Secretariat Department on a permanent part time basis. In this role, you will primarily provide support to Catholic Healthcare Board and Committees alike with a considerably smaller percentage of your time focussed on supporting the Company Secretary with EA responsibilities.Working closely with both the Co Sec & Assistant Co Sec, your role will be key to ensuring that the CHL Board, subsidiary & committee meetings are run effectively and efficiently. You will play an integral part in contributing to the successful outcomes of a busy but highly collaborative and supportive team!Your proactive mature approach together with your interpersonal skills and ability to confidently communicate in a professional and personable manner with C-Suite and Board executives, will aid your success.Your days will include;
  • Managing and administering the Board Portal (Diligent) including uploading of Board, Committee and Trustee meeting packs in line with agreed publication dates
  • Coordination and logistics of Board, Committees, Subsidiaries, Trustee meetings and Board offsite visits
  • Function/Event management from sourcing venue to execution
  • Expense reconciliations - uploading of invoices for approval via Basware/Visa Clarity
  • General related administrative duties and secretarial support to the team
  • Travel to meeting locations for preparation when required
The ideal applicant has a high level of personal integrity, is a born organiser with strong attention to detail and ability to anticipate needs. Additionally, you will have;
  • Min 5 years' demonstrated experience as a Board Administrator/EA position - Essential
  • Experience managing calendars & logistics for Executives or Directors - Board & Committee
  • Event management experience & ability to manage related logistics for key company events
  • Demonstrated experience working with Diligent Board Paper application & SharePoint document management system - preferred
  • Advanced skills in MS Office Suite, including Teams, SharePoint & Outlook & be Tech Savvy
  • Ability to articulately draft appropriate business correspondence and emails at Executive level
