Position Title: Bookkeeper / Accounts Manager
Position Type: Part-time (1-2 days per week) - flexible hours
Reporting to: Director
Location: STATION | Melbourne, 9 Ellis Street South Yarra VIC 3141
Hours: Office hours are Monday – Friday 9.00am - 5.00pm
Position Purpose: The Accounts Manager plays a critical role in overseeing the various finance functions for the gallery, bringing strong financial management and analytical skills. You will support and assist the management, and the gallery team, with a range of tasks associated with the successful commercial operation of the Gallery. You will work closely with the Directors, and Gallery Associates across both Melbourne and Sydney, to realise the potential of all activities and projects undertaken.
Key responsibilities & duties:
• Prepare monthly bank reconciliations, including the reconciliation of credit cards
• Competently utilise the payroll function of Xero to prepare and process payroll
• Process and lodge statutory obligations including superannuation and Workcover
• Assist the gallery team with invoicing and the administration of the sales process
• Administration of employment contracts, leave, and other entitlements
• Accurate and timely processing of all bills and invoices (local and international)
• Generate consignment and sales reports for artists, and assist with financial queries as required
• Assist with debtor and creditor management as required
• Assist in completing month end processes and reporting, and process general ledger and year-end adjustments
• Prepare and lodge periodic Business Activity and Instalment Activity Statements
• Preparation of monthly sales reports for management
• Liaise with and provide adhoc support to our external accountants and financial advisors, and ensure compliance with accounting policies and legislation
• Advise gallery team on tax administration, and import/export duties, etc as required
Key Selection Criteria
• A relevant tertiary qualification in Accounting / Finance
• 5+ years of relevant accounting experience
• Knowledge of and experience with Microsoft Office (including Advanced Excel skills), FileMaker and Xero (competency with payroll function in Xero)
• Experience creating and maintaining budgets and financial reports
• Strong interpersonal, verbal, and written communication skills
• Proven ability to work both independently and as part of a team
• Attention to detail, and strong analytical and problem-solving skills
• Previous relevant practical experience within a commercial gallery or arts institution an advantage
• Demonstrated organisational and time management skills, and the ability to prioritise tasks to meet competing deadlines in a fast paced environment
